Account Support & Payroll Officer

Mackay Canegrowers Limited is a not-for-profit company limited by guarantee that provides membership services in the Mackay and Plane Creek Region based on the towns of Mackay and Sarina. 

CANEGROWERS Mackay is an autonomous but integral part of the network of CANEGROWERS companies in Queensland. 

Primary activities of the Mackay company include: 

• Advocating for growers in the agri-political arena 

• Providing guidance and advice on a range of industry matters 

• Negotiating supply contracts with milling companies on behalf of members 

• Enhancing commercially focussed agribusiness development 

• Promoting growth of the company and its membership 

• Supporting insurance services 

PURPOSE OF THE POSITION

The Payroll Officer is responsible for maintaining payroll records in conjunction with the Sugar Industry Award for growers, MCL (Mackay Canegrowers Limited), MAPS (Mackay Area Productivity Services Limited) & PCPSL (Plane Creek Productivity Services Limited) as well as back up to the Accounts Officer and all it entails.  The position is also responsible for the general maintenance and leasing of properties owned by Mackay Canegrowers Limited.  BAS agent registration is highly regarded.

DUTIES AND RESPONSIBILITIES

This unique position requires diligence and experience in both payroll processing and basic accounting.  Payroll requires the accurate and timely processing from timesheet entry through to payment, lodgement with the ATO etc.  A basic understanding of accounting is required for the second responsibility, being the monthly entry, reconciliation and reporting.  This position works closely with the finance team to ensure the timely delivery of month end procedures, and at times may be required to provide back up services or support to other members of the finance team. 

Payroll

  • Ensure all documentation for each grower and their employees is complete and accurate prior to commencement
  • Prepare wages/payslips via computerised CHIPS system weekly/fortnightly as required 
  • Lodge STP
  • Maintain leave accrual records
  • Deal with all grower and employee payroll/wages inquiries.
  • Liaise with growers on all aspects of Sugar Industry Award – Field Sector
  • Prepare wages figures for BAS/IAS Statements for Growers.
  • At financial year end, reconcile and lodge final STP submission on behalf of the growers.
  • Record superannuation contributions & inform growers monthly/quarterly
  • Prepare Wages Summary for WorkCover on behalf of the growers.
  • Prepare wages and maintain leave accrual records for MCL, MAPS & PCPSL
  • Upgrading and maintaining the CHIPS Olympus program used for payroll

Accounts 

  • Back up the accounts officer whenever necessary and take full responsibility for the position when the accounts officer is on leave.  This would include all functions associated with the maintenance of the accounts receivable and payable ledgers, generate sales invoices, ensure correct coding and undertake inputting of daily receipts and payments, maintain aged debtors and creditors trial balances and associated control accounts.  Prepare cash required listing and prepare cheque runs and EFT payments ensuring correct authorisation as per delegated authority. Undertaking the timely reconciliation of Petty Cash, Credit Cards, Bank Accounts, Debtor and Creditor balances, Employee expenses, Members’ fees and allowances, Membership fees, Cane Testing, General Ledger accounts and GST control accounts.
  • Petty cash to be maintained, balanced and reimbursed as required
    • Organise the general maintenance of both the Mackay and Sarina buildings.  This includes – electricians, plumbers, fire safety equipment, locksmiths, air conditioning, etc. 

Building

  • Organise quotations for major maintenance projects then the completion of the work in a timely manner to inconvenience tenants as little as possible.
  • Organise the renewal of leases as required and the creation of leases for new tenants.
  • Show prospective tenants offices for lease and the amenities available.
  • Maintain the fire safety records including the emergency exit maps and the ‘volunteers’ for the fire warden positions on each level.
  • Organise fire evacuation drills with the fire brigade.
  • Supervise including the hiring of janitor staff and make sure they have sufficient supplies for their duties

Computers

Back up the Accounts/Payroll Manager with computer maintenance and IT enquiries

SKILLS AND EXPERIENCE

The following skills are essential to be considered for this position:

  • Minimum 3 years’ experience processing payroll
  • Understanding of accounting/bookkeeping principals such as journals, accrual accounting, reconciliations
  • Attention to detail and accuracy in data entry.
  • Problem solving ability, analytical and numeracy skills
  • Excellent verbal and written communication skills
  • Experience reporting with the use of Excel
  • Good organisation and time management skills
  • Ability to work autonomously yet remain part of the team
  • Flexible and adaptable

REPORTING RELATIONSHIPS

The position reports to the Accounts/Payroll Manager. 

The position will be a Monday to Friday role working 27.5 per week at our Mackay based office.
