Administration & Customer Support Assistant

Our wholesale entity is looking for an Administration & Customer Support Assistant who is organised, efficient, with an eye for detail and high level of accuracy. In this role you will demonstrate your superior customer service skills on a daily basis. You are an administration professional who has a positive approach in life and enjoys a fast pace environment. 

Role Responsibilities:

·         Report to the Office Manager and liaise with other departments  

·         Attend to all enquiries from customers and the general public  

·         Call clients regularly to develop strong relationships  

·         Responsible for ensuring the wholesale ordering system runs smoothly with respect to data entry

·         In collaboration with the Dispatch Team perform daily cross checks, ensuring all orders are completed

·         Analysis of invoices and statements discrepancies

·         Prepare invoices, process deposits and payouts

·         Maintain various database/schedules, ensuring that records are complete and current

·         Record information, file forms and prepare some reports

·         Updating ledgers, research and resolve discrepancies

·         Assist in supporting the Office Manager & the Finance Department  

·         Other tasks as requested

Role Requirements

The successful applicant will need to demonstrate:

·         Exceptional verbal and written communication skills

·         Confident in communicating and collaborating at all levels of the business

·         Knowledge of accounting & understanding accounting concepts

·         Attention to detail, very high level of accuracy and efficiency

·         Great time management skills and the ability to prioritise multiple tasks

·         A positive and caring approach to tasks and challenges presented 

·         Ability to work independently and work as part of a team

·         Computer literacy and strong typing skills, including knowledge of MS Office and Xero

·         Ethical behaviour when dealing with sensitive financial information

·         Willingness to comply with all company, local, state, and federal financial regulations

·         Current driver’s license
