Urban Maintenance Systems (UMS) is a provider of Australian-owned and operated facilities maintenance and management.
We are looking for a superstar administration professional who can assist our internal staff, external clients, and subcontractors to ensure all aspects of reactive and proactive jobs are logged, assigned and completed to a deadline at a high standard.
In this busy role, you will work with a dynamic team to answer the phone and email queries, log jobs, assign appropriate subcontractors, ensure compliance and completion of jobs, issue resolution, invoicing, and report to name a few!
You will be responsible for:
- First point of call for receiving and logging jobs via phone and email
- Organise the appropriate internal staff and external contractors for the completion of jobs, ensuring information is accurate and passed on correctly
- Ensure contractors always remain compliant
- Resolve issues as they arise (eg scheduling issues, non-completion of work issues, urgent jobs that arise, payment issues, etc.)
- Reschedule jobs based on priority
- Participate in rostering of internal employees for assigned jobs
- Assist in meeting client contractual and compliance expectations
- Regularly liaise with customers and internal stakeholders
- Respond to all incoming calls in a clear and professional manner and relay messages as appropriate
- Coordination between subcontractors and customer
- Provide administrative support through the processing of jobs, invoices and end-of-month filing, archiving and other duties as required
A little about you:
- Demonstrated previous administration experience, minimum 2 years
- Previous work in an administration role, coordinating or scheduling position
- Excellent phone-based customer service experience
- Experience in a blue-collar work environment is desirable but not essential
- Strong organisational skills, highly capable of multi-tasking, with high-level attention to detail
- Strong computing skills and knowledge particularly with Microsoft Outlook
- The ability to work effectively as part of a close team with minimal supervision
