Inherent requirements of the role:
Essential Skills and Experience • Previous Executive Assistant/Administration Officer experience.
- Ability to apply government protocols and administration policies, processes and procedures.
- Desirable – SAP, CM9, Salesforce experience
Key accountabilities
- Provide a high level of administrative and project support to the leadership team, including preparation of correspondence, reports, and presentations.
- Act as a first point of contact, responding to enquiries, and escalating and redirecting issues as required, to ensure the provision of accurate and timely information.
- Work closely with the Director in managing diary and time commitments, prioritising and filtering information requests, drawing attention to urgent matters which require immediate attention and referring operational matters to other staff as appropriate to enable the most effective use of time available
- Organise and schedule meetings, coordinate venue hire and catering, prepare agendas and organise briefing papers, coordinate presentation materials, logistical requirements and travel arrangements, draft correspondence and organise equipment and resource orders for meetings.
- Assist project teams to complete tasks and implement project plans, including collating documents and records regarding relevant issues to ensure projects comply with agreed project methodologies and that agreed outcomes are achieved.
- Research and support/or coordinate initiatives, projects and programs across the broader Division when required
- Balancing conflicting priorities and negotiating workable timeframes
- Working independently to address issues in the absence of key officers who may not be readily contactable due to work commitments.
- Identifying sensitive issues for the immediate attention of senior management and maintaining confidentiality.
