About the Department of Psychiatry
The Department of Psychiatry at the University of Melbourne was established in the 1960s. The Department is a large Department within the Melbourne Medical School. There are approximately 120 academic and professional staff, 140 honorary staff and about 50 students who are enrolled to pursue research degrees from Honours, Masters and PhD programs.
The Department is located across a broad reach of Melbourne. It has teaching and research units at Austin Health, St Vincent's Health, and within NorthWestern Mental Health: the latter includes units at Royal Melbourne Hospital, Sunshine Hospital, and Northern Hospital. The Department also has units at two private hospitals: Albert Road Clinic (Ramsay Health Care) and The Melbourne Clinic (Healthscope).
About Mindful
Mindful – centre for training and research in developmental health is funded by the Victorian Department of Health and Human Services and auspiced by the University of Melbourne and Monash University. It provides professional development training to the child development industry, including one- and two-year courses enrolling over 150 students annually.
About the Role
The Administrative Officer is responsible for administration relating to the Tuning into Kids (TIK) suite of programs at Mindful. The incumbent works autonomously and as part of a team in administering facilitator training courses, from following protocols to populate the administrative infrastructure to being the key contact for course enquiries through enrolment, payment, and certification.
The role requires some flexibility with regard to start and finish times particularly when training is being conducted and offers some flexibility to work from home.
Responsibilities include:
Develop and maintain detailed knowledge of the Tuning in to Kids suite of programs
First level response to enquiries and the provision of general course and enrolment advice
Management of training cancellation, booking amendments and refunds, raising invoices when requested, and other financial tasks relating to the TIK training.
About You
You have the demonstrated ability to work independently and as part of a team, with a demonstrated commitment to providing excellent customer service. Your high-level organisation and time management skills, give you the ability to work under pressure and prioritise tasks, with the flexibility to manage competing demands.
You will also have:
Completion of a degree, (or completion of a diploma qualification or Certificate IV and extensive relevant work experience, or completion of a post-trades certificate and extensive relevant experience), or an equivalent combination of relevant experience and/or education/training.
High level verbal and written communication skills with the ability to relate effectively with a range of people across all levels of the organisation.
A good understanding of privacy and confidentiality issues, including the application of these to record-keeping.
High level of proficiency in the use of standard application software such as the Microsoft Office suite (particularly Word, Excel and PowerPoint), SharePoint and Office Outlook, as well as aptitude in learning and adapting to a range of digital platforms.
