About the position
The part time position, working 21 hours over a 3-business day week, provides effective and efficient administrative and customer service support to the Building Information Unit, researching building documentation within our data base, physical files, microfilm, electronically, maintaining information through the accurate and continual collection, analysis input and retrieval of data.
In this role you will
- Process Copies of Plans applications by researching and investigating Council's electronic systems and hard copy files to locate correct plans, reports and certificates as requested by internal and external customers
- Prepare timely distribution of internal and external Council correspondence in accordance with relevant legislation
- Manage a range of tasks simultaneously to meet the required 15 and 25-day turnaround timeframe
- Liaise with internal and external customers to respond to enquiries and resolve issues in a professional manner
- Update the workload excel spreadsheet
- Charge Sundry Debtor account where applicable and send Notice to pay through outlook to external customers
- Process refunds when required
- Check and process the generic email account and respond to enquiries through a timely manner.
About You
To be successful in this role will bring the following skills and expertise to our team:
- Adaptable in using various software packages.
- Well-developed interpersonal, written, and verbal communication skills and the ability to converse effectively with various stakeholders
- Demonstrated ability to function effectively as a member of a team and to foster good relationships with other team members
- Ability to prioritise and multi-task in a highly customer-focused environment, completing tasks to a high level of accuracy and meeting strict deadlines
- Ability to exercise initiative, judgement and contribute knowledge and skills where procedures are not clearly defined
- Sound experience using Outlook, Word, Excel, and Adobe
- Sound knowledge of the building industry, understands building plans as well as proven researching and investigating skills to resolve issues
- Demonstrate a can-do approach to all aspects of their role.
