About the role
The purpose of this role is to provide general administrative support to the WooliesX team as well as act as our ‘front of house’ office coordinator assisting with external visitors, distribution of deliveries throughout the office, booking couriers and other general administration duties as directed. This will include coordination of travel & assistance with onboarding of new employees.
Responsibilities will include, but are not limited to:
Coordinate all office management activity including expenses and purchase order management
Work in collaboration with Woolworths Group Management for office facility requests and issues, and
take a proactive approach in rectifying any office concern
Front of house point contact for Senior Leaders and Executives within the Woolworths Group
Coordinating & facilitating the Onboarding new employees at WooliesX
Ad hoc stationery ordering, mail sorting and general administrative tasks as required
Provide general support to internal & external visitors across the Group at our Surry Hills office
Coordinate the smooth running of the office by developing and implementing processes & procedures and administrative systems
Work closely with the Workplace Building Support Manager to ensure you are across Group Comms and procedures (including but not limited to changing COVID rules regulations and what the restrictions mean for our office capacities).
Who we are looking for
We are looking for an individual with exceptional organisational skills and who is highly proactive with the ability to discern what takes priority, what can be handled directly, and what needs to be escalated.
Requirements:
Has the ability to efficiently prioritise tasks by deadlines and work under pressure.
Strong experience event managing & coordination
Strong & proven experience with stakeholder and relationship management
Strong communication and interpersonal skills (written/verbal, financial/non-financial)
High level of integrity / confidentiality
Problem solving and issue resolution
Proven ability to manage complex meeting room management and multiple travel bookings
Good business acumen
Knowledge of Google, Expense8, SAP and Concur platforms is beneficial

Given the nature of this role, there may be times where you are required to work outside of “normal” business hours (i.e. for team events / Board commitments / strategy days etc). However, WooliesX is committed to a flexible work environment and a healthy work/life balance.
