About the role

Join our expanding firm as the face of reception where exceptional client care meets administrative skillfulness. This is the ideal role for someone looking to build a career in Professional Services as part of a close knit Client Services team.

The Client Experience Officer will apply their warm and welcoming disposition coupled with, agility, and strong organisational skills to be the first point of call for our clients and stakeholders. Providing high-level administrative support, deliver on exceptional client hospitality and supporting the engine room of the firm. With a focus on efficient workflows, maintaining a productive office environment, and supporting the overall success of the firm, through its client services function, the successful candidate will be able to work in a dynamic role and leave a lasting impression on our clients.

Key responsibilities will include:

  • Be the welcoming face that greets clients and stakeholders, creating a warm, welcoming and professional reception.
  • Effectively and efficiently manage the first point of call for queries via the switchboard, email and in person.
  • Demonstrate a commitment to exceptional client service by providing timely and proactive support.
  • Handle day-to-day administrative tasks with accuracy using various practice systems and IT software.
  • Oversee and maintain front-of-house operations ensuring they remain up-to-date, are streamlined and organised.
  • Oversee meeting room management by booking appointments on behalf of internal staff and clients.
  • Offer a welcoming and seamless hospitality service to clients including provision of refreshments and catering where required.
  • Responsible for the internal mail distribution process including scanning, filing, sorting, and distributing to respective teams and administrators.
  • Work collaboratively with the Client Services team to ensure a cohesive and supportive work environment.
  • Identify and implement opportunities for process improvement in conjunction with key stakeholders to enhance efficiency and effectiveness.
  • Be a reliable, prompt and professional team player.

You are an agile individual with strong organisation skills and attention to detail with demonstrated experience in working in customer/client service roles. You can take instructions and work independently to meet deadlines acting as a stable and reliable foundation in our client services function.

To be successful in this role, you will be able to demonstrate:

  • Demonstrated experience in a receptionist or customer-facing role with a proven track record of reliability and professionalism.
  • Unwavering interest in client service and the ability to understand client needs.
  • Deliver high-level administrative and clerical support for a diverse range of stakeholders.
  • Proficient typist with the ability to use professional language free from errors.
  • Effective communication and interpersonal skills, with the ability to interact professionally with both internal and external stakeholders.
  • Proficient user of MS Office Suite products including Word, Excel, Outlook, Teams.
  • Strong communication and interpersonal skills, with a friendly and professional disposition.
  • Strong organisation and time management skills with the ability to prioritise tasks and meet deadlines in a fast-paced environment.
  • Strong problem-solving skills, with the ability to identify and recommend improvement solutions.
