ABOUT THE ROLE

This position is accountable for high level providing administrative and operational support to the Employee Experience and Wellbeing team.

This role is a key participant in People Culture team, providing high level customer focused service, stakeholder management and general administrative and operational support. This role is responsible for assisting in case management processes, reports and ensuring governance frameworks are followed by the team.

Key Accountabilities include:
  • Provide a professional customer focused service for the team that enhances the team’s image including assisting with enquiries, referring people to the relevant team member, conveying messages accurately, scheduling appointments and booking rooms
  • Assist the Executive Officers of Committees within the Employee Experience team in the preparation of Agendas, papers, and minutes, ensuring Chisholm governance timelines are met.
  • Prepare a range of regular documentation including reports, correspondence, papers, briefs and submissions as required
  • Manage the purchase order and invoicing processes in accordance with Chisholm policy.
  • Undertake general administrative duties as required to support and enable the effective function of the Employee Experience team
  • Maintain case management systems ensuring case notes are updated in time for monthly reporting
  • Assist the Employee Relations and Experience team with the organisation and filing of documentation and correspondence
  • Ensure case files are prepared for meetings and legal processes upon request
  • Assist with the preparation of Employee Relations briefs for the Executive
  • Assist with the implementation of Agreements including assisting with the setup of Voting processes
  • Assist in updating policies, procedures and practices to comply with guidelines and relevant legislation that improve the efficiency and effectiveness of people management practices.
  • Support managers and employees in their understanding and application of PCS policies and procedures
ABOUT YOU

You will have qualifications, skills, and experience in:
  • Relevant qualifications at a minimum of Certificate level in Business Administration or related discipline or equivalent experience in a similar role
  • Demonstrated experience in providing high level administrative support in a complex and demanding working environment
  • Significant experience and advanced knowledge of Microsoft Office including MS Excel, MS Word, PowerPoint
  • Experience with working through Chris21 or similar HRIS
  • Experience in providing service excellence to all internal colleagues and external clients
  • Demonstrated ability to build rapport and effectively engage with a diverse range of stakeholders
  • Excellent written, verbal communication and interpersonal skills
  • Excellent attention to detail and commitment to accuracy
