This temporary vacancy is open to Expressions of Interest and any extensions to this appointment will not exceed 12 months.
About the Role:
As Administration officer, you will have the following responsibilities:
- Answer queries from parents and relative staff relating to finance status whilst ensuring confidentiality.
- Contact parents/guardians regarding overdue invoices and issue Dunning notices.
- Negotiate payment plans (including Centrepay/BPOINT) with parents/guardians to ensure the full payment is finalised within terms of agreement.
- Support administration areas - reception and student areas if required as directed by Executive Team.
- General receipting duties including generating student bulk bills, invoices and credit notes, end of day procedures, taking payments from students (cashless school), maintain finance registers, provide general administrative support when required.
- Liaise with the Leadership Team regarding student non-participation in extra-curricular activities.
What we are looking for:
We are looking for someone who:
- Understands or has the ability to gain an understanding of QParents and Dunning processes.
- Has high level computer skills particularly Word, Excel and online applications.
- Ability to work with limited supervision, displays initiative with a high-level attention to detail.
- A team player with the ability to perform under direction, co-ordinate multiple tasks, prioritise work demands and meet deadlines.
- Has demonstrated knowledge, or ability to rapidly acquire knowledge, of Departmental administrative policies, practices and procedures used in schools.
- Has demonstrated interpersonal and communication skills (both written and oral) including the ability to communicate messages clearly and concisely, to deliver high level customer service.
- Has the ability to communicate with parents regarding outstanding payments
- The following would be highly desirable:
- Thorough knowledge of OneSchool Accounts Receivable processes and associated reports.
- Knowledge of executing Payment and Centrepay plans.
- Knowledge of DoE financial policies and procedures.
