Job description

Our client is currently seeking an experienced EVENT PROJECT / PRODUCTION MANAGER with excellent project management experience to become an integral member of their Sydney based team.

Working with the Directors of the company and reporting to the CEO, this position plays a key technical leadership and project role throughout the company’s local and international world-class events, productions, and installations.

The Event Project / Production Manager will be required to lead teams and coordinate with onsite leaders to deliver projects. This role requires excellent event-planning skills along with the ability to define project milestones and deadlines and coordinate both teams and external contractors to ensure a successful and enjoyable event that meets organizational goals and expectations.

A successful candidate will be proficient in their project coordination, planning and management acumen, as well as intermediary technical knowledge of entertainment-based technologies. A detailed description of some of the key tasks you will be responsible for is below:

KEY RESPONSIBILITIES

  • Attend site meeting with internal and clients to understand event venue infrastructure and requirements.
  • Receiving briefs from the management team and develop a plan to deliver on the project requirements.
  • Preparation of required Event documentation including

1. Approval permits - Event permit, Water access etc

2. SWMS / Risk Assessment documentation

3. Coordinate Layout plans with event team

4. Coordinate Provisional Power Layouts and requirements for Events - e.g., Generator requirements, Review Site power layouts in proximity to activation locations

  • Liaise with relevant suppliers to arrange aspects of the project including, Power/generators, Security, Staffing requirements, merchandise etc
  • Prepare mobilisation / bump-in schedules including equipment freight, onsite requirements, resourcing schedules, third party contractors, machinery hire, accommodation, and logistical requirements for staff etc for onsite installation team to be efficient during bump-in schedule.
  • Prepare staffing schedules accommodating for Operational and Bump-out activities including staffing lodging, travel, transportation etc
  • Arrange logistical requirements including, shipping of goods (Container) to and from site location, onsite working area
  • Provide input on equipment packing lists and installation methodologies ensuring adherence to clients requirements.
  • Work with Creative team to understand their requirements i.e. Creative resources required (Programmers), programming requirements, commissioning nights
  • Manage project budget and resource allocation to control expenses based on budget guidelines
  • Develop and effectively communicate project scope, timelines, goals, and deliverables per project
  • Assemble, coordinate and lead project team and provide support as needed
  • Liaise with the client on all aspects of the project pre, during and post event - Operational lead will be the companies representative during the activation.
  • Provide updates on project progress and raise area’s of concern / risk on each project for discussion and resolution with the team.
  • The project manager will be responsible for overseeing various projects and the coordination of these project with the delivery team to ensure they are delivered to the companies satisfaction
  • Development and implementation of on-site safety management plan including safety briefing, incident reporting and related documentation

KNOWLEDGE AND SKILL REQUIREMENTS

  • Knowledge of project management techniques and tools
  • Strong technical background desired but not essential
  • Direct experience in a project management capacity, preferably in events, staging and/or show production
  • Proven experience in people management
  • Proven experience in strategic planning
  • Minimum 5 years’ experience in event project management and show production
  • Qualification in project management or equivalent is a plus

Remote Working Conditions

  • Position allows for working from home scenario / remote working in conjunction with weekly team meetings held at the Sydney HQ.
  • Show site will require travel with multiple overnights based on length of show. Flexible PTO based on actual work schedule.

Job Type: Full-time

Salary: $90,000.00 – $110,000.00 per year
