We have a fantastic opportunity for a full-time Executive Assistant to support an Executive Director and their team in the Specialised and Asset Finance Division of the Commodities and Global Markets Group. In this role, you will be responsible for a varied range of executive support, administrative and finance tasks in a highly successful organisation.
This is a fast-paced role requiring a positive, confident, and proactive approach so you will be able to work productively in a pressurised environment.
About the role
You will be responsible for, but not limited to:
- Diary management with different timezones - including arranging meetings and conference calls with internal/external parties
- International and domestic travel - including coordination of approvals, preparation of itineraries, logistical arrangements, and visas
- Acting as coordinator and main point of contact for team(s) when required
- Processing of invoices and expense claims and reconciliations for payment, adhering to our expense policies and procedures
- Liaising with clients and/or client EAs and peers, internally and externally from time to time as required
- Managing queries and taking responsibility for follow up actions
- Managing and creating reimbursement invoices
- Providing cover for other EA leave from time to time
To be successful in this role you will have:
- Five years plus experience in financial services industry or similar sector is desirable
- Reliable and stable work history
- High level of attention to detail
- Intermediate to advanced level of skill and knowledge in Microsoft Office applications (touch typing with min. 60 wpm), intermediate level of PowerPoint highly desirable
- Appetite to learn new software and systems
- Intermediate level of PowerPoint highly desirable
- Strong organisational and time management abilities
- Ability to solve problems and demonstrate initiative
- Background and/or interest in finance industry highly regarded
- Ability to manage competing priorities, teams, and Executives across the working week
