Our opportunity

We have an exciting opportunity for an Executive Assistant to CEO Investments join our Sydney Team.

Providing a high level of administrative support to the ELT member and their department

Your responsibilities are but not limited to:

  • Keep ELT member abreast of the pulse of the business.
  • Operate without supervision in the executive environment.
  • Manage a demanding diary of meetings and monitor and manage emails.
  • Prepare and edit all general correspondence, speeches, media statements and articles.
  • Deal with confidential information and ensure a high level of discretion.
  • Prioritise work across a range of departments and projects.
  • Provide administrative support to Executive team and employees across the business as required.
  • Preparing reports and additional correspondence including papers, presentations, briefings and proposals.
  • Prepare, collate and distribute monthly reports.
  • Manage staff events, engagement initiatives, conferences, and projects as required.
  • General administrative tasks including expense processing, invoices processing and maintain filing.
  • Building collaborative relationships with key internal and external stakeholders
  • Managing conflicting priorities and expectations and providing prompt and professional communication.
  • Arranging travel, itineraries and associated personal and corporate credit card expense reconciliations.
  • Organising meetings and room bookings and preparing and distributing minutes/action items in a timely fashion.
  • Driving improvements and maximising efficiency of administration processes.
  • Competing tasks accurately, on time and to a consistently high standard.
  • Assisting with any projects, or undertaking additional duties as reasonably required.
  • Supporting the ELT with HR people requirements - e.g approving recruitment and employee change requests, organising signing of documentation, facilitating the onboarding and training of new employees, and ensuring accurate access and set up on commencement date.
  • Work with the ELT EA community including being a role model to all Assistants in the business to promote professional standards, attitude and discretion.
  • May occasionally work additional hours or be on call on weekends depending on ELT workload.
Your point of difference

The ideal candidate will have extensive experience as a senior Executive Assistant and experience in a high-volume administrative role with conflicting priorities as well as an advanced level of IT proficiency e.g Microsoft Office Package, MRI, Basware, MEX, Salesforce.Candidates will also be able to manage events and conferences, will have a proactive and self-motivated approach with the ability to solve problems and resolve issues as they arise and will be able to operate with a big picture perspective.

The ideal candidate will also have exceptional time management and organisational skills with the ability to work under pressure, exceptional interpersonal skills with the ability to leverage relationships and achieve successful outcomes and will bring a team player attitude with the ability to work independently or as part of a team. Candidates must also work well without supervision, be able to multitask and adapt to change, and must have a willingness to be flexible.
