How you will make an impact
- Proactive, strategic, and forward-thinking diary management for the CTO, including strategically scheduling their meetings, preparation and focus time, and prioritising to ensure their time is aligned with their key priorities
- Proactively helping manage the CTO’s inbox, including responding or drafting responses to internal and external stakeholders on behalf of the CTO, ensuring they are aware of critical matters, and filing/archiving of emails
- Regular travel organisation for CTO to travel from Melbourne to Sydney (flights, accommodation, transfers)
- Brief CTO on requests requiring sign-off (Finance, HR, Supplier SOW requests), and build in time to calendar for reviewing and actioning approvals
- Work with CTO and TLT to coordinate reporting and allow sufficient time for reviewing, editing & approving to ensure deadlines are me for Board & ExCo papers and reports, including CTO speaking notes
- Plan, set and manage operating rhythm for the TLT, including TLT meetings, huddles & All Tech Town Halls, as well as social events for the Technology division
- Extensive EA experience supporting at Executive level
- Prior experience working within a Technology function or business would be highly regarded
- Strong communication (written & verbal), stakeholder management and organisation skills required
- Strong complex diary management and email management experience
- Excellent planning and organisational skills
- Ability to be forward thinking and work with fast paced & changing priorities
- Self-starter who has a proactive approach and a proven ability to use initiative
- Ability to deal with sensitive and confidential issues at Executive level
- Ability to build effective working relationships with internal & external stakeholders
