The Opportunity
  
Assistant Sydney are working with a global and well-known tech giant, who are recognised not only for their product, but for their inclusive, dynamic, and enjoyable workplace culture. The opportunity has risen for an Executive Assistant to support the VP of APAC Marketing on a 6-month contract (with a highly likely chance to extend!). With the current incumbent finishing at the end of September, we are looking for someone to start by mid-late September to allow for a thorough handover. This role is best suited to someone who is outgoing, ambitious and who has excellent stakeholder engagement and management skills. The ResponsibilityAs a key member of the team, you will have a ‘no task too small’ approach to getting the job done. Responsibilities will include but will not be limited to;
  • Calendar management - coordinate internal and external meetings including but not limited to team meetings, full staff meetings, all hands meetings, off- site meetings, one-on-one meetings etc;
  • Drafting communications to the team;
  • Expense reporting;
  • Maintain organisation charts and email distribution groups;
  • Assist with food orders, luncheon planning, etc;
  • Visa and travel arrangements (domestic and international);
  • Organize, prioritise and coordinate multiple work activities with the ability to meet deadlines;
  • Proven ability to manage projects, work under pressure and consistently make deadlines;
  • Use initiative and judgment within established guidelines;
  • Help to support smooth onboarding of new hires joining the team.
The ExpertiseThe ideal candidate will have 3-5 years’ experience in a similar Team/Personal/Executive Assistant position. Exposure to the technology or marketing industries being high advantageous, as would experience working in a large corporate/global business. You will have excellent time management and communication skills, be proactive and mature in your approach to work, and be able to work autonomously with little hand holding. Your willingness to learn about the team, the company, and expand your skills will serve you well in this role, with endless opportunities to support on a number of projects and events. You will be professional with a high EQ and proficient in MS Office Suite. Finally, you will be hungry to develop and continue to grow your career as part of a fantastic, friendly and dynamic team, and will be available to commit to the role on a 6-month contract basis.
