Hays is currently partnered with a State Government organisation to recruit an Executive Office Coordinator for a 3 month full time assignment with the potential to extend.
Your new role
You will work standard full time hours with the flexibility to work from home. The Executive Office Coordinator - Health and Safety, provides administrative support and coordination to the Executive Director, Health and Safety and Executive Officer, Health and Safety.
The role supports the delivery of whole of Health and Safety activities on behalf of the ED, and assists in the fulfilment of Health and Safety’s corporate obligations and reporting requirements.
Responsibilities include:
- Providing high level, confidential, administrative support to the Executive Director and Executive Officer.
- Leading on all administrative office coordination for the Executive Office, including:
– screening telephone calls and mail;
– fielding enquiries and requests and escalating urgent matters for the Executive Director’s attention;
– producing correspondence, presentations and reports on behalf of the Executive Director;
– documentation and records management and filing for the Executive Director;
– coordinating meetings, functions, agendas, room bookings and speeches.
- Supporting the Executive Officer in delivering Health and Safety operational requirements, including business planning, risk management, budget management and compliance.
- Maintaining administrative processes and templates for Health and Safety meetings, including agendas, minutes and action registers.
- Developing and leading local Health and Safety induction for new team members.
- Accountable for creating and capturing accurate and complete records of the business activities related to this position, in accordance with approved policy and procedures. This is applicable to both hardcopy and electronic information, including email.
What you'll need to succeed
To succeed, you will need:
- Advanced knowledge of MS Office, Word and Excel
- At least 4 years experience in an Administrative role
- Effective organisation and time management skills
- Excellent and effective written, verbal and telephone communication skills
- Demonstrated ability to liaise with a diverse client/stakeholder group including senior management levels
