Assistant Sydney is working exclusively with a Melbourne-based client who are seeking an experienced Executive/Personal Assistant. The business is a unique model, whereby it is comprised of a Family Office and a mental health organisation, which is run by two social entrepreneurs and philanthropists. The opportunity is not for the faint hearted, as your fingers will be in every single pie possible! Ranging from event coordination to complex personal and executive support, and the opportunity to strategically partner with the Directors is available for a dynamic and trusted individual. This opportunity will stimulate and reward one who loves a challenge and is self-motivated, diplomatic, discreet, and resilient. The Responsibility
A full job description will be provided during the Assistant Sydney vetting process. Please see a brief outline below:
- Complex diary and travel management including appointments setting, booking flights, transfers and organising itineraries;
- Personal support to the Directors;
- Arranging phone, zoom and in-person meetings;
- Gathering relevant information required for meetings (including taking Minutes of Meetings);
- Contacting various organisations and Government Departments to obtain and relay information and engage with stakeholders;
- Office management;
- Screening phone calls and welcoming visitors;
- Strategic client and partner relationship development;
- Marketing coordination in the form of brochure and flyer preparation, mail outs, coordinating and updating of marketing collateral and all promotional materials
- Assisting with property management and personal support to the Directors.
We anticipate the suitable candidate for this role will have 5+ years’ experience, supporting either a HNWI, entrepreneur, and/or family office. Experience in an event coordination role (as part of your EA role is accepted) is advantageous, as is your understanding of marketing. You will have great interpersonal skills, a high level of verbal and written communication, and enjoys working across multiple projects at once. An interest in the mental health, social enterprise, arts, and/or music industries is considered an asset by the Directors.
