Job description

Position Overview: The Export Documentation Clerk at HW Greenham Meat Processing Facility plays a vital role in managing logistics and documentation processes, ensuring seamless operations in international trade. Reporting to the Plant Manager and Shipping Manager, this position requires meticulous attention to detail, exceptional organizational skills, and a commitment to delivering outstanding customer service to both international clients and Australian suppliers.

Key Responsibilities:

  1. Provide professional customer service to international clients and Australian suppliers, addressing inquiries, resolving issues, and ensuring satisfaction throughout the export process.
  2. Book shipping container space on vessels directly with shipping lines, coordinating all necessary transportation arrangements efficiently.
  3. Prepare and issue Export Documentation accurately and promptly to meet strict international customer deadlines, including but not limited to invoices, packing lists, certificates of origin, and shipping instructions.
  4. Collaborate closely with the Shipping Manager, Warehouse Operations Logistics Team, and Sales Managers on a daily basis to coordinate shipments, streamline processes, and address any logistical challenges.
  5. Perform data entry tasks and general office administration duties related to Export Documentation and logistics management, ensuring all records are accurate, up-to-date, and compliant with regulatory requirements.
  6. Monitor shipments from the beginning to the end of each job, tracking progress, identifying potential issues, and proactively communicating with relevant stakeholders to ensure timely delivery and customer satisfaction.

Qualifications and Skills:

  • High school year 12 or equivalent qualification required; additional certification or training in logistics, international trade, or related field preferred but not essential.
  • Proven experience in a similar role within the export/import industry, with a strong understanding of Export Documentation requirements, shipping procedures, and international trade regulations.
  • Excellent communication skills, both verbal and written, with the ability to interact professionally with diverse stakeholders including clients, suppliers, and internal teams.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively and manage multiple deadlines simultaneously.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and experience with relevant software systems for logistics management and documentation would be an advantage.
  • Adaptability and problem-solving abilities, with a proactive approach to resolving issues and optimizing processes to enhance efficiency and customer satisfaction.
