Primary objective
Provide high-level administration and data entry support for asset management and contract operations to enable the Department
to meet its responsibilities and achieve its housing program outcomes. This position is responsible for monitoring work orders to
ensure work is undertaken by housing maintenance contractors in accordance with agreed timeframes, as well as processing
invoices in line with relevant contractual obligations.
Context Statement
The Administration Officer is the principal source of information and advice in relation to implementation and management of
contractor service reports (work orders) and the payment of invoices for Remote Public Housing, Government Employee and
Industry Housing in individual communities and regional areas. Administration support is provided to Property Contract Officers,
Property Services Manager, external contractors, Government and non-government agency representatives.
Key duties and responsibilities
1. Provide administrative and contract support and advice by providing professional and timely responses to requests for
contractor service reports and the raising of work orders, using relevant mainframe systems, to ensure relevant program
objectives are met.
2. Manage timely payment of contractor invoices, ensuring accurate records are maintained to comply with departmental
guidelines and contractual obligations, as well as relevant legislation.
3. Use and maintain a range of computer programs and databases (e.g EIMS, TRM, ASNEX, AIS) to ensure the effective reporting
and administration of housing maintenance and contracts.
4. Undertake specific projects for the work unit as directed by the Property Services Manager.
5. Coordinate, prepare and distribute meeting agendas and minutes for contract meetings as directed.
6. Provide supervision and operational support and training to the Administration Support Officer.
Selection criteria
Essential
1. Demonstrated experience in providing high level administrative assistance and support to a business unit.
2. Proven ability in ensuring accurate financial, contractual and procurement processes and delegations are adhered to, as well
as sound experience in record management.
3. Proven ability to successfully plan, prioritise, organise and manage multiple tasks, work under pressure and deliver quality
output within required timeframes.
4. Demonstrated experience in using a range of software and mainframe data systems.
5. Demonstrated ability to negotiate confidently and communicate effectively including verbal, written and listening skills, in
particular with varying levels of stakeholders, including people from diverse cultural backgrounds.
Desirable
1. Sound knowledge and understanding of the functions of urban and remote Housing, or the ability to quickly obtain, including
the ability to interpret and apply relevant policies, systems and legislation.
2. Experience of dealing with urban and remote contractors.
