Job description

We are assisting our Client based in the Eastern suburbs who are seeking a Marketing Administrator who can start immediately for a 6 week assignment.

Marketing Assistant

We are assisting our Client based in the Eastern suburbs who are seeking a Marketing Administrator who can start immediately for a 6 week assignment.

The role

This position will assist in the coordination of marketing activities such as photography, tradeshows, presentations and events. The position provides a capture point for department requirements and will assist in document formatting and presentation and assisting the team in general workflow activities. This position will also be responsible for administration tasks within the Marketing Programs department such as stationery, purchasing as required etc.

Attend to the Marketing inbox on a daily basis, answering and/or allocating requests as required.
Manage the department digital asset folder, including photography and video.
Coordinate Marketing Program internal webpages and ensure they align with external content.
Liaise with Marketing Specialists as needed to update materials or resources.
Coordinate requests for artwork, copy or campaigns within a workflow framework so that the Marketing Programs team can meet internal and external stakeholder requirements in a timely and efficient manner.
Assist in coordination of newsletter, direct and EDM functions as required.
Assist in coordination of data and reporting for monthly reports, projects and campaigns.
Assisting in the formatting of documents and creation of templates.
Coordinate and develop reports and communications in liaison with the Marketing Programs team.
Ensure that branded templates are reviewed regularly so they can be kept up to date, notifying Internal Communications of any changes that may need to be communicated broadly or specifically within the business.
Assist in the writing of various documents or proofing to ensure that messaging is clear, on brand and professionally presented.
Develop flowcharts that illustrate pre-written procedures or hierarchies.
Responsible for upkeep and supply of office items such as paper, stationery, and ordering of couriers and ad hoc items as required by the team.
Assist the team in ensuring WIP schedules are maintained, and priorities are clearly understood so that projects are delivered on time.
Assist Head of Marketing Programs in maintaining a diary that meets organisational and department needs.

The successful candidates must have:
One to three years demonstrated experience in administrative role, preferably in a marketing environment.
Excellent ability with Microsoft 365 Suite.
Capable in Adobe Pro: editing, creating forms, signatures, templates, reducing file size and merging documents.
Demonstrated understanding of image formats and ability to convert to suit document sizes.
Understanding of document conversion, such as Word to PDF or PDF to Word.
Demonstrated experience in monitoring WIP documents across a team, along with the ability to develop reports and make recommendations and understand key priorities of a team.
Demonstrated experience in working with a cross-section of internal stakeholders, managing competing priorities and meeting deadlines.
Experience with maintaining and sharing asset libraries, digital platforms and contents and the uploading and auditing against established parameters or criteria.
Representation of an organisation professionally with external stakeholders.
High level verbal, written and interpersonal communication and organisational skills.
Effective time management and organisational skills, as well as strong attention to detail.
