RESPONSIBILITIES
In accordance with policies and procedures:
Answer the telephone in a courteous and professional manner
Receive and convey messages in writing, verbally and electronically including
emails and faxes
Liaise with patients and their families in a compassionate manner
Liaise with General Practitioners, other health professionals and their staff
Make appointments
Bill patients and receipt moneys - when directed by the General Practitioner or
Practice Manager
Undertake banking procedures
Fax documents
Scan documents
File documents
Prepare documents for mail-out
Open, stamp appropriately and distribute incoming mail
Organise pathology records for checking
Type documents as required with a high level of accuracy
Clean consulting rooms in between sessions
Participate in ongoing professional development activities
Contribute equitably to maintaining the cleanliness of the practice
Maintain practice dress standards
Any other administrative duties as directed by Practice Manager/principal
SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities
MONITORING WH&S
Liaise with the Practice Manager /principal to ensure compliance with current industrial relations policies and practices
Participate in the identification of risks to the clinic and report to Practice Manager/principal
OFFICE AND WAITING ROOM MANAGEMENT
Report any building or maintenance issues as required to Practice Manager/principal
Ensure reception and relevant areas remain neat and hazard free
GENERAL ORGANISATIONAL REQUIREMENTS
Undertake specific projects or tasks as directed by the Practice Manager/principal to
promote and represent the clinic as caring, professional, and client-focused
Adhere to the policies and procedures of the clinic
FINANCIAL MANAGEMENT
Ensure Medicare and DVA are batched and processed at the end of each week
Ensure banking is processed at the end of each week
INFORMATION MANAGEMENT
Report any IT issues to the Practice Manager/principal
PRACTICE ACCREDITATION
Work with the Practice Manager/principal to achieve practice accreditation as per cycle
Liaise with the Practice Manager /principal to monitor and maintain practice activities to
ensure continuing eligibility for practice accreditation
DOCTORS
Support liaison, smooth running and communications between Doctors and staff
OTHER DUTIES
Other duties as required consistent with the Medical Receptionist’s skills and
qualifications
EXTERNAL COMMUNICATION
Foster effective external relationships with Specialists and their staff, Division
personnel and suppliers of goods and services including Medicare/department of
human resources. and
· any other duties the employer may assign to you from time to time, having regard to your skills, training and experience.
