About the Organisation

Palliative Care Australia (PCA) is the national peak body for palliative care. PCA represents all those who work towards high quality palliative care for all Australians. Working closely with consumers, our Member Organisations and the palliative care workforce, we aim to improve access to, and promote the need for, palliative care. We believe quality palliative care occurs when strong networks exist between specialist palliative care providers, primary generalist, primary specialist and support care providers and the community.

About the Opportunity

PCA has an exciting opportunity for a full- time National Conference Coordinator. Reporting to the National Business Development & Events Manager, you will be responsible for the management and delivery of the 2023 Oceanic Palliative Care Conference, including the development of project plans, communication materials, sponsorship agreements, project timelines, briefing notes and correspondence.

Your responsibilities will include, but may not be limited to:
  • Develop and monitor the conference project plan and critical path to ensure timely delivery
  • Source and manage all suppliers required to deliver the Oceanic Palliative Care Conference using appropriate procurement procedures and ensuring all logistical details are delivered in accordance with contracts
  • Work with the appointed Professional Conference Organising company to manage the registration and abstract submission processes
  • Coordinate and manage the communication with all speakers and other exhibitors about their involvement in the conference
  • Monitor conference budget to ensure revenue and expenditure is within established boundaries and provide monthly reports on the conference budget
  • Prepare post-conference reports, including financial, risk, attendance and evaluation information
  • Oversee all committees, including scheduling meetings, taking minutes and following up actions
  • Provide support for sponsorship and exhibition sales and ensure all sponsorship entitlements are delivered in line with contractual agreements
  • Build and sustain relationships with an extensive network of colleagues, peers, and suppliers to ensure efficiency of functional operation and service delivery.
Selection Criteria

To be successful in this role, you'll have substantial experience in coordinating successful large-scale events. The ideal candidate will have a minimum of 4 years’ experience in developing and delivering events such as conferences, symposia, and workshops. Tertiary qualifications are desirable, but not essential.

As you will be liaising and negotiating with external and internal stakeholders, you will require exceptional communication skills both written and verbal, strong interpersonal skills and experience in maintaining co-operative partnerships.

PCA is looking for a team player, but you'll also be able to work independently and use your own initiative and judgement to really make this role your own. Strong analytical and problem-solving skills and the ability to prioritise your workload across multiple projects to meet deadlines will ensure you can overcome any objective.

Additionally, you'll have strong project and administrative skills and extensive experience with Microsoft Office products.

The ability to be flexible in work hours and undertake some interstate travel is required.

About the Benefits

In exchange for your hard work and dedication, you will be rewarded with a competitive annual salary package, circa $86,500-$95,000, plus super, plus salary packaging options.

You will be joining a small, dedicated team where your hard work will be recognised and you'll work in a supportive, family friendly environment.
