Job Overview

We are seeking a highly organised and experienced Part-Time Executive Assistant to support the Director of our Family Office in Canberra. The successful candidate will play a crucial role in ensuring the smooth functioning of day-to-day operations, handling administrative tasks, IT support (to the level of troubleshooting issues that arise) and provide executive support to the Director and the Family Office greater components.

Responsibilities:

1. Administrative Support

  •  Provide personalised 1:1 in-person support with managing the Director's schedule of varied weekly tasks.
  • Handle emails, and correspondence with professionalism and discretion.
  • Prepare and edit documents, take actions from meetings, and provide coordination of papers for meetings as required.

2. Logistical Coordination

  • Arrange travel itineraries, accommodation, and logistics for the Director.
  • Coordinate and organize events, conferences, and meetings.

3. Information Management

  • Maintain confidential records and files.
  • Conduct research and compile information as needed.

4. Communication Liaison

  • Act as a liaison between the Director and internal/external stakeholders.
  • Assist in drafting and editing communications on behalf of the Director.

5. Financial Management Support

  • Assist with basic financial tasks, such as expense tracking and reconciliation.

Qualifications

  • Proven experience as an Executive Assistant or similar role.
  • Exceptional organisational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite and other relevant software.
  • Ability to maintain a high level of confidentiality and discretion.
  • Previous experience in a Family Office or administration environment is a plus.

Working Hours

This is a part-time position, with flexible hours, totalling approximately and up to 10 hours per week in coordination with other duties from Capital EA who manages this position.
