Job description

Tourism Tasmania is looking for a Planning Coordinator who has proven experience in project management and planning, who loves logistics, and enjoys juggling multiple responsibilities or tasks concurrently.  

You will provide a key support role within the Office of the CEO and will work directly with the CEO, board and executive to support team planning as well as coordinate and plan a range of activities that engage key stakeholders and support the Agency’s strategic objectives.  

You will have strong attention to detail, supported by your passion for organisation and administration and the ability to drive outcomes through effective interpersonal and communication skills.

You are adaptable, stay calm under pressure and able to manage multiple priorities and stakeholders in a dynamic and fast-paced environment.

What you'll be responsible for

  • Providing high level project management, planning and logistics for a range of activities including board meeting program and executive or agency events including the planning and coordination of venues, travel itineraries and preparation of briefing materials and papers. 
  • Delivering high level professional support to the Office of the CEO including proactive coordination and planning of team programs as well as providing project support including communications, report preparation, invoice processing and budget management.

What you'll work on

  • Leading the delivery of agency projects and activities including executive, board, stakeholder and industry meetings and events including developing comprehensive project plans, itineraries and risk assessments supported by strong communication that result in the successful and timely delivery of all activities.
  • Supporting the efficient delivery of the Office of the CEO program including coordination of team planning and managing tools to support program delivery, accurate record keeping and reporting.
  • Budget management, cashflows and invoice processing aligned with relevant policies and procedures to ensure organisational efficiency and support the delivery of key programs.
  • Use discretion and judgement to provide high level communications and administrative support to the executive team and board in consultation with the Director, OCEO.

Period of appointment

Fixed term, part-time (0.6-0.8 FTE) for 3 years
