Separation Solutions is a boutique Family Law dispute resolution practice in Sydney offering efficient and dignified solutions for couples who need assistance in resolving their financial and parenting disputes. We work in an emotional and sometimes challenging area of the law and therefore professional, sensitive and efficient customer service is our goal.
About you
To be successful in this role, you must have proven experience managing a legal practice. You will be efficient, organised, have strong communication skills, well-developed problem-solving skills and exceptional attention to detail. Strong technical skills are essential.
The successful applicant will have:
- Bachelor’s degree in Business Administration, Law or related field. Advanced degree or certification in management or law preferred. Senior Paralegals with a minimum of 5 years experience in Australian family law will also be considered;
- proven experience (minimum 5 years) in a managerial role within a legal setting;
- experience training and managing staff;
- experience employing administrative and paralegal staff;
- experience conducting performance reviews, creating and monitoring performance plans and issuing warnings where necessary;
- experience using video conferencing tools such as MS Teams or Zoom;
- confidence to liaise with other legal stakeholders;
- advanced skills in Excel;
- be able to build relationships with clients and team members and deliver client focused outcomes;
- be able to handle competing deadlines and strategising workflow for multiple tasks and priorities;
- knowledge of Smokeball software, Jotform and DocuSign highly desirable;
- experience in using Xero accounting software, OneDrive and Microsoft suite (Word, Excel, Powerpoint, Outlook)
- experience in using online phone system and messaging service;
- be innovative and implement new procedures for seamless workflow;
- be professional, respectful and considerate; and
- understand the importance of maintaining client confidentiality.
Duties include:
- being reportable to the Director/Principal;
- leading and taking accountability for the day-to-day operations;
- manage the administration team and drive cross-training and mentoring;
- administrative support to the Dispute Resolution Practitioners of the practice;
- overseeing the online phone system and messaging service;
- monitoring staff annual and sick leave requests;
- checking fortnightly wages/payroll before approving;
- conducting staff meetings and performance reviews for administrative staff;
- assisting with answering any accounts enquiries and pursing outstanding debtors;
- managing membership and industry renewals;
- drive process improvement initiatives including a new practice management system and providing relevant training to staff;
- be the key point of contact for suppliers including IT providers and marketing; and
- other ad hoc tasks and general office management.
Salary is negotiable depending on experience. Separation Solutions pay superannuation at the statutory rate and provide 5 weeks of annual leave (pro rata), which includes a Christmas shut down period.
The successful candidate must have a minimum of two contactable references relevant to previous experience.
