Digital Services and Security Department (DSSD) helps to keep Victoria safe by providing reliable, secure, and easy to use technology that enables our people to do their job and our community to access our services. Within DSSD, Security, Information and Privacy Division (SIPD) are responsible for the strategic direction, governance of processes, provision of advice, stewardship and promotion of protective and cyber security, privacy, information management and records management.
SIPD are seeking a VPS4 Process and Information Analyst that will report to the Information Management Specialist and work with the Electronic Document and Records Management System (EDRMS) Project Team and other stakeholders to assist with the successful delivery of an enterprise EDRMS. In addition, the promotion of good records management practices and maintenance of relevant and contemporary SharePoint web pages (intranet). This role also involves process mapping post the EDRMS implementation to streamline work practices and increase uptake of the EDRMS aligned with an Information Management Program of Work.

Your duties will include:
- Apply proven skills to assist the EDRMS Project Team to successfully implement the enterprise EDRMS.
- Prepare and present high level briefing papers and reports on the new EDRMS and potential enhancements to management.
- Understand project management lifecycles with the ability to identify risks and issues while meeting tight timeframes.
- Accurately map, analyse, and translate business processes and information flows to understand the current state, and determine gaps to meet customer needs.
- Assist to uplift Information and Records Management awareness across the organisation using different forums and tools including SharePoint Online aligned with internal policies and industry standards.
- Monitor and maintain SharePoint web pages (intranet) to ensure Information Management and EDRMS content is current and contemporary.
- Deliver outcomes in response to the Information Management Program of Work including ongoing projects to increase EDRMS uptake.
- Develop and maintain effective working relationships and consultation with key personnel across business units, management, and relevant internal and external stakeholders.
- Demonstrated experience with Electronic Document and Records Management Systems (EDRMS).
- Demonstrated experience with M365 and SharePoint Online to promote the importance of governance in the context of managing police records and documents.
- Demonstrated experience with process mapping and workflow.
- Well-developed interpersonal skills and the ability to communicate in an effective, timely and professional manner with internal and external stakeholders.

- This position is located at Victoria Police Centre, 311 Spencer Street, Docklands.
- The successful applicant will be required to undergo National Security Vetting, achieve, and maintain a security classification of Negative Vetting Level 1 (NV1). To achieve this, applicants must be an Australian Citizen.
