Reception and Administration Assistant, Shopping Centre (Property Management)
Brisbane inner Western suburbs, permanent, $dependant on experience

Reporting to the Centre Manager you will manage a well-presented shopping centre property, being responsible for supporting centre management team and the development of an assistant administrator.
A snapshot of your responsibility will include:
- Be the front of house for the Centre Management team
- Customer service and administration
- Support the Centre Management team with tenant arrears.
- Billing of tenant’s electricity invoices as well as any other charges such as extended trade, pedestal, sulllage etc, in time for the monthly Tax Invoices.
- Enter Additional Trade charges in DCP cost out and enter into MRI.
- Complete CPI and Fixed Rent reviews before monthly Tax Invoices are issued.
- Raise monthly recurring charges such as rental, outgoings and promotions levy’s by the date specified in the MRi calendar. Tax Invoices must be delivered to retailers no later than the 25th day of the month (statements will have the new months rent and charges on them).
- Sales figures sheets, electricity advice and any other relevant forms are to be attached to the Tax Invoices.
- Enter Sales and Traffic data into MRi by date specified on the MRi calendar.
- Maintain Tenant Bank Guarantee Register & Security Deposit Register.
- Maintain Casual Leasing Calendar
- Completion of arrears report to be emailed to the owner on the last working day of each month.
- Complete financial sections of the monthly report.
- Prepare the revised forecast for monthly report.
- Ensure all sign off forms are faxed to Head Office by the dates specified on the MRi calendar.
- Ensure Attendance Register and leave forms are sent to Head Office by the 1st of the month.
- If a Gift Voucher fund is in place you will be responsible for maintaining and reconciling the account on a monthly basis.
- Maintaining Petty Cash tin following the rules set out in the ‘Petty Cash Procedures’.
- Update MRI lease files, rent reviews and general maintenance of property management system.
- Ensure Administration forms and After Hours contact lists are regularly updated.
- Adhere to the monthly MRI Calendar as issued by Head Office.
- Undertake all required typing/filing as instructed by the Centre Manager/ Assistant Centre Manager. Ensure all files/records are kept in accordance with the Company’s filing system.
- Entering Accounts payable into MRi, then producing reports to be signed by the Centre Manager and faxed to Head Office for payment.
- All reception tasks including answering the telephone, attending to customer and tenant enquires, collecting and opening the mail, date stamping the mail and distributing mail to the appropriate centre management staff in the absence of the receptionist.
- Assist Centre Manager with annual budget data entry.
- Maintain, update and ensure all systems and procedures are adhered to.
We are looking for someone comfortable front of house, administration who is keen to develop a career in the property management industry, has a passion for retail, willing to learn and progress. You will be comfortable working with numbers as a large portion of the role will support the management team with compiling reports for rent arrears, financials and budgeting.
