We are seeking an enthusiastic and driven individual with a high level of customer service and administration experience to join us on a full time basis. Reporting to the Operations Manager, you will be the face of our Sydney office, and as such will play a pivotal role in ensuring our team continues to offer a professional and friendly quality service.
Job Description
As the Medilaw NSW Receptionist/Administration Assistant, your responsibilities will include but are not limited to:
Ensure for the smooth running of the Reception area: greeting visitors and advising appropriate parties of arrival.
Provide support to medical specialists e.g. copying of xray reports, catering etc as required.
Confirm appointment attendances for Medilaw NSW, both locally and regionally.
Book scheduled patients in, provide and ensure completion of prescribed paperwork prior to the scheduled consultation; communicate relevant information to ensure the comfort of patients as necessary.
Assist in the preparation and maintenance of patient files and records (both file based and electronic).
Undertake the receipt, sorting, distribution and dispatch of mail; coordinate courier deliveries as necessary.
Set up and maintain consulting rooms as required.
Assistance with booking of meeting rooms as required or rooms for visitors.
Attend to couriers and deliveries as they come in: greet couriers and sign for Medilaw NSW goods and advise appropriate area of delivery.
Ordering office supplies and catering requirements as required.
Qualifications
Previous experience in a reception position will be highly regarded
Ability to take initiative and work independently
Strong organisational and time management skills
Consistent attention to detail
Excellent oral, written and interpersonal skills
High level of computer literacy with proficiency in Microsoft Office
Possess a positive, enthusiastic, and professional attitude
Strong work ethic whilst maintaining flexibility to adopt change
