About the role
We are seeking an experienced Senior Medical Receptionist to join our growing team. Our busy Allied Health Centre is centrally located, being only 5 minutes from Parramatta CBD in Rydalmere. Public transport is available nearby and there is also free street parking nearby. The successful candidate will be self-motivated, have excellent written and verbal communication and organisational skills, be able to manage tasks and the team in a busy and sometimes noisy environment. As the first point of contact for our clients, we are looking for a person who has a high level of professionalism, has a warm and friendly demeanour, and has the ability to work as a team and individually,.
Key responsibilities
• Welcoming clients and encouraging supportive relationships with parents/carers.
• Responding to phone calls, online and email enquiries.
• Responding to client enquires. (current and new clients)
• Managing the electronic clinical diary of currently 15 Therapists & Therapy Assistants. Booking appointments, client file maintenance, diary changes, cancelling and rescheduling of appointments using our Practice Software Halaxy (training shall be provided).
• Processing payments including private health claims using the HICAPS Machine and Medicare claiming.
• Daily income reconciliation.
• Emailing clients and professionals, as well as managing confidential client files.
• General office duties including; email correspondence, scanning and data entry.
• Other administrative tasks.
• Supporting the team of Therapists and Clinicians.
• Maintaining a clean, professional and safe Reception environment.
• Engaging in team building and growth, such as team meetings.
• Proven ability to work within a team.
Qualifications & Experience
• Previous Reception/office experience in a Medical or Allied Health Practice preferred.
• Previous Experience using a Practice Software program (we use Halaxy) preferred.
• Previous experience using Microsoft Office (including Outlook, Word and Excel) essential.
• Previous experience/knowledge with National Disability Insurance Scheme/ Medicare and HICAPS claims preferred.
• Excellent written skills for use in external and internal email correspondence.
• An ability to multi-task would be considered to be an essential skill.
