About the Role
We are now looking for a Service Administrator to join our team based in Eagle Farm on a permanent and full-time basis. This position will report to the Contract Manager and will be responsible for a variety of administrative tasks including:
Create and update documents including quotations, purchase orders, CS orders, letters, procedures, presentations and spread sheets, as required;
Invoicing of CS orders ensuring all orders are prepared, with all costs presented for billing release in SAP;
Capturing and entering technicians’ timesheets and vehicle usage;
Manage and maintain technician requests accurately and in a timely manner, including annual leave requests, sick leave and clothing requests;
Maintain registers, including schedules, vehicles, billing and job tracking;
Organising and storing paperwork, project contracts, general documents and computer-based information through the maintenance of a hardcopy and electronic filing system, enabling the timely retrieval of documents (including emails);Monthly and quarterly reporting, including financial, labour, WIP and KPI reporting;
Arrange Domestic and International travel for technicians including flight bookings, accommodation bookings and travel packs, in addition to maintaining electronic and hard copies of all travel details.
Receive and prioritize all correspondence, draft and edit substantial correspondence and reports, including matters of a highly confidential nature
Monitor mailboxes whilst responding to and re-direct emails as appropriate
About You
To be successful, you must:
Have experience in a similar position within an industrial and service based environment
Demonstrate excellent communication and customer service skills
Be adaptable to change and work in a dynamic team environment
Have intermediate MS office skills
Experience in SAP (payroll/timesheets/purchase orders) or similar software (desirable)
Be a quick learner
