Address In the role of Senior Program Advisor, Accountabilities include:
Manage the operational support of assigned projects, ensuring the efficient flow of issues and correspondence, establishing appropriate priorities and successful delivery of all outcomes.
Provide administrative support to the Project Team(s), including correspondence, document control, arranging meetings, minute taking, preparation and distribution of documents and reports, procurement support, project controls and financial reporting support.
Take immediate action on matters that do not require the Project Manager's close involvement by researching issues, evaluating their impact and producing an appropriate response.
Assist in the monitoring, tracking and reporting on the status of project deliverables to ensure time, cost and quality metrics are in line with approved plans.
Maintain register/s of compliance for the Project Team(s) to monitor alignment with endorsed project management methodology, change management process and other organisational policies.
Liaise with internal and external stakeholders including members of the Project Board and the broader leadership of the Project including vendor side stakeholders.
Review responses and briefing notes to executive correspondence to ensure consistency with departmental policy and standards where the Program Director is the endorsing officer.
Analyse, interpret and disseminate information throughout the Project team(s) to ensure that staff are well informed of current and emerging issues impacting the Project(s).
Develop and maintain relationships with internal and external stakeholders including subject matter experts, stakeholder reference groups and project boards.
Take personal responsibility to deliver on agreed outcomes, model high standards of professionalism and ethical behaviour; demonstrate self-awareness and a commitment to personal development.
Contribute to the ongoing improvement of existing PMO team processes and project structures where necessary, using an agile mindset.
Provide secretariat support for the Program Board.
Maintain Program and project information in an organised and easy to navigate manner, including managing online systems including Microsoft Teams pages and SharePoint sites to ensure they contain accurate, timely and relevant information.
Develop and maintain quality processes for the Program Management Office (PMO) function within the Program and provide executive support functions as required, including preparing assurance plans and preparing projects for gated assurance reviews and health checks.
