Job description

The Department of the House of Representatives provides services to support the efficient conduct of the House of Representatives, its committees and certain joint committees, and also provides a range of services and facilities for Members of Parliament in Parliament House. The department also promotes the work of the House in the community and supports the conduct of the Parliament's international and regional relations.
The Table Office is responsible for providing procedural advice and administrative services to support the operations of the House of Representatives, the Federation Chamber and some parliamentary committees.
About the role
The Votes and Proceedings Manager role is a unique opportunity to gain experience in a key procedural role in the Table Office. The role has principal responsibility for accurately preparing the official record of proceedings in the House of Representatives Chamber, by drafting the minutes of the House in real time and producing a final draft (proof) following each sitting.
The key duties of the position include
The Votes and Proceedings Manager:
1. Prepares the proof issue of the Votes and Proceedings, including the Federation Chamber supplement, and is responsible for its electronic distribution and the issue of accurate finals of the Votes and Proceedings.
2. Prepares and transmits, in real time, the Live Minutes to the APH website with accuracy and efficiency.
3. Prepares the Votes and Proceedings index.
4. Prepares and arranges binding of Votes and Proceedings volumes.
5. Maintains and updates Votes and Proceedings templates and business items, the style manual and other related manuals.
6. Maintains Chamber ICT equipment as directed.
7. Supports ICT projects within the Table Office and participates in training and testing for Table Office ICT systems and applications.
NOTE: The employee assigned these duties will be required to work extended hours prior to and beyond the adjournment of the House of Representatives when the House is sitting (approximately 20 weeks per year), will be required to participate in job sharing arrangements to reduce fatigue and may be required to rotate to other areas of the Table Office or Department. Overtime (or time-in-lieu) is payable.
