Job Details
Under general direction from the Exhibitions Project Manager, the Exhibitions and Experiences Coordinator will:

  • Develop, document, coordinate and deliver exhibition operations – ensuring all records are accurately entered and updated on the collection management systems. 
  • Collaborate with Collection Management, Conservation and Digital to support the ongoing development of Museum Plus and ensure it is fit for purpose and maintained
  • Manage exhibition loans; this includes coordinating with Collection Management, Conservation and Access staff, lenders, external contractors and preparing related documentation such as loan contracts, ensuring museum best practice principles are always maintained.
  • Assisting with exhibition development and related collection management activities to enable effective delivery of exhibitions, displays and other interpretative projects. This includes working closely with NFSA teams, including Collection Management and Conservation to ensure safe handling of the collection, appropriate storage and security on site, location tracking, transport, maintenance, installation and deinstallation.
  • Liaise and coordinate the provision of services with internal stakeholders in the areas of Conservation, Curatorial, Collection Management, Digitisation, Property and Security and Access. Utilise interpersonal and communication skills and build strong stakeholder relationships.
  • Assist the Exhibitions Project Manager with development of documentation, scheduling, budget monitoring and straight forward procurement,  
  • Use knowledge and experience in the application of national and international principles, practices, standards and ethics relating to lending of cultural collections;
  • Perform risk assessments and mitigate risks to collections on loan including coordination of best practice loans management,
  • Ensure exhibition projects consider and manage WH&S issues and that accessibility is a priority.
  • Perform project co-ordination for exhibition and experience team projects.

 

Selection Criteria
In relation to the ‘Job Details’ listed above, concisely demonstrate your skills, experience, and achievements against each of the following areas:

  1. Demonstrated experience in exhibitions or collection management coordination, including the development, documentation, coordination, installation, and delivery of exhibitions.
  2. Demonstrated experience and knowledge of collection management systems - particularly with loans, collection handling, storage, location tracking, transport, insurance, condition reporting and preventive conservation.
  3. Demonstrate highly developed organisational and administrative skills, including the ability to manage competing deadlines, work on multiple projects simultaneously and deliver projects to tight deadlines and work independently or with limited guidance. 
  4. Highly developed written and oral communication skills, and the ability to liaise and negotiate effectively with people at all levels of specialisation, including external stakeholders.
  5. A demonstrated ability to apply practices and principles of Workplace Health and Safety and Workplace Diversity and operate in a participative and consultative work environment.

Preferred qualifications and/or equivalent experience 

  • Tertiary qualifications in an archive, museum, gallery, heritage or a related field are preferred 
  • Recent relevant experience in exhibitions, institutional loans, or similar. 
  • Experience with Media Asset Management and Exhibition Management Systems such as Museum Plus and Mediaflex 
  • Proficiency with Microsoft Office Suite and data base system

Desirable criteria:

  • Understanding, interest and commitment to working with Australia’s audio-visual and material culture, including exhibitions, and associated public programs.

Eligibility 

  • To be eligible for this position you must:
  • Be an Australian Citizen; and
  • Satisfactorily complete an Australian Federal Police National Police Check.
  • Have a current Australian Driver’s License

The other eligibility that may be included in a job would also include the following:

  • Obtain and maintain a Working with Vulnerable People registration.
