What is the role?
The employee in this position is required to demonstrate a high level of competency, involving self-directed application of, and responsibility for, the crucial administrative functions of the Regional Office, undertake research, prepare and maintain databases and registers, and support to the Regional Director, and at times, the regional team.
- Provide executive level support.
- Maintain appointment schedules by planning and scheduling meetings, conferences, and teleconferences (diary management) including diary management for the Regional Director.
- Draft, review and distribute of communications including School Annual Reports and Regional newsletters.
- Organisation and preparation for meetings, including collation of documents and attending to logistics, management and minuting of meetings.
- Document production by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Marketing/editing by way of desktop publishing, power-point, in-designer, for flyers, publications, School PR, media, annual reports.
- Assist with document research/collation and upload, when required.
- Implement and review systems to develop efficiencies for the team.
- Collation of Regional Director’s monthly communications and site newsletters.
- Arranging all aspects of travel, including flights, accommodation and car hire bookings.
- Collate and prepare all government reporting requirements.
- Assist in the collation of school data reports and annual school reports.
- Liaise accordingly with stakeholders and develop trusting relationships on behalf of the Region.
Key Responsibilities & Experience
Understanding of and commitment to the values of a Catholic educational system of schools in the Edmund Rice tradition.
At least 5 years’ experience in a Senior Administration position within a school and proven ability to building relationships with key stakeholders.
Experience proactively engaging with a wide range of stakeholders.
Demonstrated ability to be flexible, well organised and display initiative to improve practices.
A confident and experienced professional with exceptional communication (both written and verbal) skills including high interpersonal skills and a high EQ.
Be extremely proficient with advanced skills in Microsoft Office Suite and Excel skills, essential.
Demonstrated capacity to work autonomously and to approach activities with initiative.
An open and collaborative working style with the ability to be assertive yet diplomatic with staff and executives of all levels.
Ability to work and contribute to a team environment.
