ABOUT THE OPPORTUNITY

Are you a versatile administrator with a passion for helping people? Then this is for you!

In this 12-month fixed-term maternity leave cover role, you'll lead our efforts to recruit and support residents, working closely with Senior Management to ensure smooth day-to-day operations. Your key responsibilities will include:

  • Admissions: Manage the application-to-arrival lifecycle, from enquiries to major events, tours, marketing, and student communications.
  • Administration: Co-manage the reception desk and office operations.
  • Student LifeBe the first point of contact for all enquiries and handle a variety of administrative tasks that keep our community thriving.

This is an exciting opportunity to work with a fun and well-established accommodation provider that helps young adults create a 'home away from home.' We hope the successful candidate will begin with us by August 1st, 2024, if not before.

ABOUT THE ROLE

Under the supervision of the Principal, the Admissions & Community Support Coordinator is responsible for:

Admissions

  • Resident Recruitment: Manage residency and scholarship applications, correspondence and offers.
  • Marketing: Actively contribute to marketing campaigns, collateral, and initiatives.
  • Events: Plan and deliver Arrival Day(s) and Open Day(s).
  • Tours: Coordinate tours for prospective students and their families.
  • School Visit Program: Coordinate and contribute to the school visit program across Victoria. This will require occasional travel on your part.
  • Data and Reporting: Regularly generate data and reports.
  • Arrivals & Departures: Manage the check-in and check-out process for all residents and guests, ensuring efficient financial transactions for all fees owed.
  • Communication: Handle pre-arrival and pre-departure communications.

Administration

  • Reception - Co-leading the day-to-day management of the College reception desk and Office operations, including the secure management of college keys and access requirements.
  • Resource Provision: Assist with providing resources and equipment for residents and guests, including keys, access systems, and parking permits.
  • Material Ordering: Order materials, merchandise, and resources for the College.

Student Life 

  • Event Support: Support college events with catering, venue management, security, and other necessary arrangements.
  • Executive Support: Provide executive support to the Principal, College Councils, and Committees, including coordinating meetings and communications as required.
  • Project Support: Support the design and delivery of College projects and major events.
  • Policy Compliance: Comply with all policies and procedures, particularly those relating to WH&S strategies and human resources policies.
  • Other Duties: Perform other duties as determined by the College.

KEY SELECTION CRITERIA

  1. Relevant Experience: Qualification with relevant experience OR an equivalent combination of experience and training is highly valued. Experience in higher education and/or student accommodation is also highly valued.
  2. Administrative Experience: Proven experience in administrative roles, demonstrating strong organisational skills, attention to detail, and the ability to manage multiple tasks efficiently.
  3. Customer Service Orientation: A strong customer service focus, with the ability to provide friendly, professional, and responsive service to students, parents, and visitors.
  4. Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with students, parents, staff, and external stakeholders.
  5. Event Coordination: Experience in planning and coordinating events, including managing logistics, catering, venue arrangements, and communications.
  6. Technical Proficiency: Proficiency in using office software (especially Google Suite), databases, and communication tools, with the ability to quickly learn and adapt to new technologies and systems. Experience in the admissions platform, StarRez, is highly valued.

ADDITIONAL INFORMATION

The salary for the position will be commensurate with experience.

College staff enjoy lunch Monday-Friday in the College Dining Room when it is in operation.

We are a child-safe organisation. The successful applicant must undergo a National Police Check and possess (or be willing to obtain before starting) a valid Working with Children Check, First Aid Level 2, and Mental Health First Aid. The College will reimburse the costs of these requirements where needed.
