The role of Advisor to the Deputy Chief Ombudsman (DCO) is a critical support role that will coordinate activities across the function. The role will work closely with the leadership team to monitor and report on progress against portfolio plans, budget, operational performance and engagement. The role will also provide broad support across diary, meeting, travel, finance and people management. You will have one direct report, the Team Executive Assistant.

Typically, in this role you will:

  • Coordinate and monitor the progress of cyclical business activities across the office of the DCO, such as workforce planning and budget, business planning, performance and development
  • Provide support as needed across DCO Portfolio Plan deliverables
  • Coordinate the development and review of policies, procedures and approach documents
  • Work with the Team Executive Assistants to coordinate and prepare management reports and board papers
  • Provide advice, deal with escalated matters, draft correspondence, determinations, presentations and reports on matters within the DCO group and for the senior leadership
  • Provide broad support across diary, meeting, travel, financial and people management

About you

To be successful in this role, you will:

  • Be experienced in a similar team or project coordinator, business manager or EA role, ideally in legal, financial or professional services but not a deal breaker
  • Have strong planning, prioritisation and ability to manage multiple tasks to meet deadlines
  • Have strong stakeholder management to drive outcomes
  • Be savvy with technology, including the full Microsoft Office suite
  • Have sound written and drafting skills and verbal communication skills
  • Have the ability to anticipate and identify challenges or opportunities and potential solutions. You're always thinking a step ahead!
  • Have a track record of identifying opportunities to continually improve processes
