The role of Digital Mail Specialist and trainer is integral to the ongoing operation and management of DVA’s Digital Mail functions that sits within the Information and Records Management team.
The suitable candidate for this role will need to possess well developed ICT skills, have experience with contract management, training and knowledge/understanding of DVAs processes and business areas.
This role will involve a high level of stakeholder management both internal and external. There will also be regular engagement, training and consultation with business areas regarding Digital Mail arrangements. The candidate will ideally have experience in developing training courses, which could include videos, help guides and group/individual training for adults via the use of MSTeams.
Due to the ongoing stakeholder engagement/management and training function in this role, the candidate will be required to possess clear and concise communication and a high level of professionalism. They will be proficient in or able to quickly understand DVAs records management policy and apply this in their dealings with business areas and training.
The successful applicant will have a high attention to detail and be able to workshop IT issues with an innovative way of thinking. They will have a good understanding of the importance of Records Management and its role in government. This role may also include testing and implementation of Mail rules and decisions relevant to this.
Duties
  • Manage DVAs mail coordinator network
  • Engage with Business areas to assist and provide solutions to mail issues
  • Develop and deliver/facilitate training regarding digitised mail to all DVA staff, in a group setting and individually as required.
  • Provide a high level of communication and stakeholder management
  • Manage Mail contract/s - providing feedback to provider/s on Service Level Agreements (SLAs) and quality
  • Process improvement – develop and implement innovative ways to help reduce DVAs physical mail (incoming and outgoing)
  • Have existing knowledge or be able to quickly gain knowledge of the end to end IT system (Process Direct, Master Mail Rules, Content Manager 9, and other DVA systems)
  • Understand digitisation and metadata requirements for Digitised Mail in reference to National Archives of Australia Standards
  • Understand DVA’s thesaurus for Document creation in records management sense
  • Support and assist Assistant Director/Director and Team Leaders workshop solutions to ICT problems and issues
  • Understand and explain relevant Records Management principles in a government setting

Notes
This recruitment process is being used to fill an ongoing and/or non-ongoing position.
Where a non-ongoing position is offered, the role will be filled for an initial specified term of up to 12 months.
A merit pool of suitable applicants may be created which may be used to fill future ongoing and non-ongoing vacancies should they become available over the next 18 months.
Successful applicants engaged into the APS will be subject to a probation period.
