The Role
As an Executive Assistant you are responsible for setting priorities and managing work flow for your role and producing a high volume of work that is subject to routine monitoring.
On a day-to-day basis your duties may consist of:
- Providing administrative and executive support to a National Manager and broader Branch as needed, including managing document workflow, coordinating information, secretariat support, drafting correspondence, arranging meetings, diary management, telephone calls and emails.
- Organising travel for the National Manager and other staff when required.
- Managing documents for the attention of the National Manager, including tracking and clearance procedures in an effective and timely manner.
- Coordinating the work flow of the office and undertake more complex administration tasks.
- Apply work knowledge and established procedures and guidelines to situations involving complexity and sensitivity which require considerable analysis.
The ideal person will be happy, personable, and friendly. Proactive, adaptable, and very organised.
Essential Knowledge and Skill
- You will display oral and written communication skills with strong interpersonal skills and be able to produce relevant timely correspondence in a clear understandable language.
- You will be able to work independently and assist colleagues with complex or difficult issues.
- You will be able to exercise independent judgement, identify issues and contribute to the resolution of issues and problems.
- You will have strong administration skills and be able to prepare appropriate forms of written communication for the Assistant Secretary.
- You will be able to manage a high volume of work including prioritizing tasks and adapting to change.
- You will have experience in, or the capability to, monitor and track expenditure.
- You will have a sound understanding of the role and functions of the Department, organisational processes and procedures and you will be aware of issues that may impact on your work area.
