The Opportunity:
We are seeking an Assistant Space Planner to join our team. You will join a team of experts who will expose you to amazing opportunities to grow your career.
You will support the delivery of services on behalf of a high-profile Commonwealth Department with a global footprint.
The role requires supporting the development and delivery of Occupancy Planning solutions in line with Property Strategies. The role requires delivering minor workplace changes and utilising CAD-based programs to provide amendments and alterations to existing workplace designs and floorplans. Some of the responsibilities include but are not limited to:
Responsibilities:
- Client/Stakeholder Management across multiple properties
- Budget Management
- Procurement and Vendor Management
- Health & Safety Management
- Site Operations Management
- Risk Management
Utilising CAD systems provides design solutions that meet the client’s needs and requirements relating to space efficiency and reporting.
Understand and determine the needs, requirements and constraints of the client.
Assisted with domestic relocation facilitation and NLA management of the overseas-owned and leased estate.
Build productive, harmonious, collaborative relationships with all client stakeholders and accommodation representatives.
Act as a point of contact and client relationship manager for upcoming relocations and space planning activities, liaising with Business Unit representatives as required.
Participate in ad hoc building audits (including seat allocation, occupancy and vacancy audits etc.) to prepare summary reports from audit findings.
Assist the Senior Space Planner in tracking and reporting on seat demand/headcount growth requests received.
Receive, process and facilitate client move requests, perform audits and support the Senior Space Planner in the smooth and on-time execution of physical move projects to help manage successful relocations of multiple people across multiple sites.
Ensure client satisfaction throughout the space planning and relocation management process.
Work with the JLL Facilities Management and Project teams to help coordinate various providers to achieve implementation and communication of moving dates, and manage work order relocations, including but not limited to furniture reconfigurations, site cleans and space enhancements.
Schedule and implement relocations, providing the main client contact with scheduled dates, move instructions, and move orientations as required.
Ensure move signage and general move directions are provided, and be present as required on-site or at the move site, available to answer questions and help resolve pre and post-move issues.
Assisted with JLL internal and client relocation project close-out, including feedback and lessons learned reporting.
The position requires proactive management and engagement with senior staff and stakeholders to ensure space planning and project management services do not impact client operations or safety and ensure that the clients’ expectations are met every time.
Critical Criteria:

  • You MUST be an Australian Citizen to be considered for this role. This needs to be outlined on your resume.
  • You must have or be willing to undergo and maintain a Baseline AGSVA Clearance.
Experience in and knowledge of CAD-based programs.
Experience in managing multiple activities (programming, budget, relocations, project, facilities management).
Excellent written and oral communication skills.
High-level leadership acumen with the ability to engage and influence stakeholders.
A proactive, forward thinker who can ascertain probabilities and rectify them before they occur.
High Level of Engagement and Personal Presentation skills.
Employee Specifications:
Experience working on Commonwealth projects is highly regarded
Experience working in property or CRE is advantageous.
Experience in working with floorplans and databases will be an advantage.
Intermediate skills with Excel, PowerPoint and Word.
Space Data Management software such as Serraview or Archibus would be advantageous.
Unrivalled willingness and ability to learn as training will be provided.
