Job description

The purpose of this role is to contribute to effective not-for-profit governance by providing high-level confidential administrative and organisational assistance to Board and Committees.

Description

Day to day duties include:

  • Provide administrative support to assist with the management and organisation of the Board and Committees, ensuring timely output for all meetings, in conjunction with the Secretariat team.
  • Act as the point of contact between the Board Chair, the Board, staff and external stakeholders..
  • Develop administration systems and processes to continuously improve the Board operating rhythm and Board efficiencies.
  • Assist in the preparation and distribution of the Annual General Meeting and required documentation, and attend as coordinator and minute-taker.
  • Work with the Governance, Risk and Compliance team to facilitate the timely review and approval of Board-related policies.
  • Plans and manage all board and committee meetings ensuring organisational calendars meet the Board and Committees' operating rhythm.
  • Plan and coordinate all requirements for meetings and seminars as needed, ensuring appropriate arrangements are in place for the smooth running of events. Logistical arrangements to include scheduling, invitations, locations, speakers, catering, and travel if required.
  • Work with relevant stakeholders to develop and distribute meeting agendas and supplemental materials.
  • Attend all Board and Committee meetings and produce accurate and timely minutes for the same.
  • Record and securely distribute all board and committee meeting minutes, coordinate their review and approval, ensuring their accuracy as the official record of board and committee discussions, votes, and actions.Monitor all governance schedules and action items and facilitate the presentation of items at meetings.
  • Facilitate the annual Committee Charter reviews and the associated approval of updates by the Committees and Board.

Profile

In order to be successful in this role you will be able to demonstrate the below:

  • Prior experience in writing minutes at a Board level is essential.
  • Exceptional written and verbal communication
  • Advanced Microsoft Office skills and proficient user of technology applications with a focus on accurate minute taking.
  • Exemplary attention to detail and excellent presentation
  • Proactive and resourceful problem solving
  • Exceptional customer focus with a proven ability to work collaboratively with all stakeholders.
  • Proficient in delivering high-level administration and ability to multi-task whilst remaining precise and efficient.
  • Well-developed time management and decision-making
  • Ability to work with initiative, both autonomously and in a team
  • Ability to deal confidentially, sensitively and constructively with difficult
