Position Overview:
We are seeking a highly organised and detail-oriented individual to join our team as an Administration Officer. Supported by our Administration & Client Support Manager, the successful candidate will be the first point of contact for clients and play a crucial role in maintaining client records, coordinating appointments, and supporting our accounting team with various administrative tasks. This position requires excellent communication skills and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Client Records Maintenance: Update and maintain client records across various cloud based software applications (Acuity, Xero, Teamwork Projects).
- Customer Contact: Serve as the first point of contact for customers, handling email and telephone queries, and greeting clients upon arrival.
- Client Support: Manage emails and telephone calls, answer non-technical queries, and liaise over workflow matters.
- Appointment Coordination: Schedule and coordinate appointments and meetings, ensuring the correct bookings are made, and manage accounting staff's Google calendars.
- Workflow Management: Log tasks related to client communications, and assist with follow up to ensure clients receive timely responses from relevant staff.
- Document Management: Upload important documents to Google Drive, and link them to relevant tasks.
- Tax Return Support: Support the accountants by collecting information from clients, or sending out electronic signature requests.
- Client File Preparation: Ensure client files are prepared prior to meetings, especially during tax time.
- Payment Processing: Collect payment from clients via EFTPOS, issue receipts and scan/upload the merchant settlement to the google drive daily.
Qualifications:
- Strong organisational and multitasking skills
- Excellent communication skills, both written and verbal
- Proficiency in using cloud based software applications for appointment bookings, task/workflow management, invoicing, document management and client records
- Ability to manage schedules and coordinate appointments effectively
- Detail-oriented with a focus on accuracy in record-keeping
- Customer service experience is a plus
