Job Description: We are currently seeking a casual Administrative Assistant to join our team. This role will primarily involve managing incoming and outgoing communications with clients, scheduling appointments and jobs, and providing support to management as needed. Initially, the position will be based at our head office in Stepney, with the possibility of transitioning to remote work in the future.
Key Responsibilities:
- Responding to phone calls and emails from new and existing clients in a professional and timely manner.
- Scheduling appointments, quotes, and jobs using scheduling and lead-generation software such as Hipages, Oneflare, Serviceseeking, Service.com.au, Tradify, or similar platforms.
- Assisting management with various administrative tasks, including data entry, filing, and document preparation.
- Maintaining accurate records of client interactions and job details.
- Collaborating with team members to ensure efficient communication and workflow.
Requirements:
- Excellent communication skills, both verbal and written, with a friendly and professional demeanor.
- Strong organisational skills and attention to detail.
- Ability to multitask and prioritise tasks effectively in a fast-paced environment.
- Proficiency in using scheduling software and other office applications.
- Quick learner with the ability to adapt to new systems and procedures.
- Prior experience in a similar administrative role is preferred.
