The Role

The Despatch Clerk supports the sales and despatch process by creating tax invoices for finalised sales orders in order of priority and customer requirement.

Responsibilities

  • Complete invoicing as required using Syspro ensuring accurate replication ofdata provided by warehouse (i.e., quantities and bin locations)
  • Process, and apply customer payments (cash, credit card & EFT)
  • Manage the suspense function in conjunction with the accounts team andupon release invoice these sales orders into the warehouse.
  • Call cash sale customers to obtain payment allowing you to invoice these orders and release them into the warehouse for despatch.
  • Support the backorder process as and when required.
  • Finalise the sales order process by filing documents and client records as appropriate.
  • Maintain communication with our customers ensuring invoice copies are sent to all when orders are despatched.
  • Other clerical tasks to support the sales, online and warehouse processes.
  • Observe safety rules and procedures and immediately report any concerns, faults, behaviors or mechanical/equipment problems.

The Person

We are looking for an experienced, motivated self starter who thrives in a support role and is passionate about delivering great customer service. 

In addition the successful candidate will bring the following to our business:

  • Experience in a similar role (Essential)
  • Knowledge of ERP systems (preferably Syspro) 
  • Office administration experience.
  • Solid understanding of accounts payable and receivable. 
  • Experience in a fast paced, high volume sales environment.
  • Accurate and high speed data entry skills and attention to detail.
  • Outstanding written and verbal communication skills.
  • A very high level of customer focus and service.
  • Strong time management with the ability to manage multiple tasks.
  • Resilient, adaptive and responsive to change.
  • Must be a team player.
  • A willingness to learn and a positive "can do" attitude.
  • Ability to prioritise workload and meet deadlines.
