Role:

Executive Assistant to C-Suite

A world leader in the provision of wide-area autonomous optical systems in the Search, Intelligence, Surveillance and Reconnaissance space for Defence, Civil Defence, and Environmental Sustainment application. They specialise in the design, fabrication, manufacture, and distribution of these innovative systems. About the role:

As the Executive Assistant, your role will be pivotal in supporting the CEO, as well as the COO and CTO. Your exceptional organisational skills and talent will be instrumental in streamlining their day-to-day activities, allowing them to focus on strategic decision-making and leadership responsibilities.
You will be entrusted with managing their schedules, coordinating meetings, and ensuring that all administrative tasks are handled efficiently. Your proactive approach and ability to anticipate needs will significantly ease the workload of the leadership team, enabling them to lead the company more effectively.
In this dynamic role, you’ll have the unique opportunity to synchronize your work schedule with the CEO’s, who frequently engages in international travel. This not only enhances your global exposure but also ensures that you’re providing the most effective support to their CEO, no matter where in the world they might be. Your responsibilities will include:

  • Provide high level day-to-day executive support to the CEO including managing a calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Diary management for internal and external meetings.
  • Proactively manage incoming and outgoing communications with the CEO, liaising on behalf of the CEO when required.
  • Prepare, collate, and review correspondence, reports, agendas and presentations.
  • Coordinate Leadership and Board meetings, including preparation and distribution of papers and attendance as minute taker.
  • Act as referral point for queries relating to the office of the CEO and assist with priority management.
  • Build strong relationships with a diverse range of stakeholders both internal and external.
  • Provide executive support to other members of Leadership, including the COO and CTO
  • Undertake investigations/research as directed by the CEO and prepare briefings, reports and correspondence.
  • Manages a variety of special projects for the CEO, some of which may have organisational impact.
  • Prioritises conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Work closely with Leadership to improve and embed required activities within the organisation to support their services to clients, improve the employee experience, and establish capability development/training.
  • Establish and execute recruitment processes.
  • Process and reconcile invoices and credit card expenses.
  • Organisation of key internal and external events as required.
  • Provide support and assistance with other duties as required by the CEO

Your skills and experience:

  • Highly developed communication and interpersonal skills and a demonstrated ability to build effective relationships with a diverse range of stakeholders.
  • Strong organisational skills and ability to multi-task and problem solve.
  • Excellent writing skills and experience in the development and distribution of executive documents.
  • Understanding of the commercial environment of business and use your business acumen to develop priority’s.
  • A high level of tact and confidentiality.
  • Ability to be responsive, flexible and agile in response to changing and competing demands.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Dynamic with demonstrated problem solving skills.
  • Excellent attention to detail in preparing materials, managing sensitive information, and processing of tasks.
  • You are proficient with office software such as PPT, Word and Excel
  • Bachelor's degree preferred but not essential.
  • Minimum of three years’ experience supporting C level executives
  • Emotional maturity and a hard work ethic - with a sense of humour for good measure!
