Job description

The core responsibilities are the provision of  professional executive and administration support ensuring efficient functional operations and driving continuous improvement. Provide day-to-day executive support and diary management including a brief, papers or presentations required for internal and external meetings.

Key Responsibilities:

  • Coordinate with the Business Support Managers, ensure that there is the required coverage to support the key day-to-day administrative activities, including performing office management, operations & facilities duties in an entrepreneurial environment
  • Support the CEO by proactively responding to enquiries from Board Members with a high level of discretion, maturity, diplomacy, and judgement, ensuring exceptional experience
  • Assist and back up the Company Secretary where needed including meeting preparation, travel, administration requirements, minute taking and maintaining the minute books and Board registers of all Board related meetings
  • Support the Company Secretary with the assembly, circulation and notifications of Board and AGM papers, including setting deadlines, communication with the Executive team, circulation of AGM notices and any related workshop or strategy documentation
  • Support the CEO in post-Board session communication and implementation, including managing and monitoring the implementation of resolutions and action items as agreed with the CEO
  • Assist in the coordination and linkage between the Board, CEO and Executive Directors, and any other duties to ensure good Board governance
  • Support the CEO and Executive Team members responsible to the Board and Board committees in the preparation for and holding of meetings, including preparing agendas, assembly of papers, taking minutes, and monitoring committee action items
  • Prepare agendas and minutes of various internal and external meetings convened or attended by the CEO (or other agreed meetings)
  • Process invoices and credit card expenses for the CEO and Executive Team
  • Support for key events and conferences, including booking venues, invoicing, catering and on ground support, as well as communications/Responding to queries
  • Proactively manage incoming and outgoing communications within the CEO Office, liaising on behalf of the CEO when required
  • Stakeholder Engagement - build strong relationships with a diverse range of stakeholders both internal and external.
  • Initiate, lead and implement projects as required to continually improve and develop new efficient systems and processes

  • Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
