Position Overview:
We are currently seeking a highly organized individual to join our team located at St Kilda, Melbourne to directly assist the CEO and Executive Director. The successful candidate will be responsible for providing solution-focused administrative support to the park's executives and supporting the wider team as needed.
Responsibilities:
- Provide high-level administrative support to executives, including calendar management, travel arrangements, and correspondence.
- Manage diaries and emails to facilitate efficient organization and execution of daily activities.
- Coordinate meetings, conferences, and events, handling scheduling, logistics, and preparation of materials, meeting room set-up, catering, and meeting room tidy-up whilst also managing agendas and minutes.
- Act as a liaison between executives, internal teams, and external stakeholders, maintaining professional communication and relationships.
- Co-managed office supplies and services, including restocking supplies, and ordering stationary, kitchen supplies, office furniture, and other essentials.
- Coordinate office equipment maintenance as required.
- Serve as the primary contact with external stakeholders, providing information, answering questions, and managing office passes for employees.
- Adhere to company code of conduct, policies, and procedures.
- Assisting with board papers and tasks including drafting papers, meeting agendas and minutes.
- Coordinate Board meetings including organising attendees.
- Manage personal appointments of the executives as required.
- Comfortable to complete EA style tasks and errands as requested.
Requirements:
- Proven experience in an administrative support role, supporting executives. Minimum 3 years’ experience or equivalent.
- Exceptional organizational and time management skills.
- Strong communication and interpersonal skills.
- Strong written communication skills with attention to detail, including an ability to draft communication on behalf of the executives and proofread documents.
- Ability to handle sensitive information with discretion and confidentiality.
- Proficiency in Microsoft Office Suite and other relevant software.
- Australian working rights are essential for this role.
- Knowledge and understanding of operating in a small team environment.
