Position Title:          Head of Property (ANZ)

Division:                   Group Enterprise Services

Location:                  Melbourne

Reports to (position):  EVP – Global Head of Property

OVERALL PURPOSE OF THE JOB

Primarily responsible for providing Property & Facilities Management services across the various Toll Group businesses, overseeing a portfolio of property assets spread across Aus/NZ, ensuring that all property related matters are well managed, including the leadership of the Australian Property & Facilities Management Teams.

ACCOUNTABILITIES

  • Strategy – to assist the Global Head of Property in designing and aligning property strategies with Toll Group & Business Unit vision and strategies – delivering initiatives that maximise property outcomes for the stakeholders they support.
  • Leadership – manage the Aus/NZ Property & Facilities Management Teams, taking accountability for their performance and growth, seeking to establish and maintain a high-performance environment led by a highly effective leader.
  • Performance – accountable for managing the team to provide corporate real estate services (ie lease management, facilities management, and investment transactions) in a manner that maximises performance for the associated business unit – whether that be financial or operationally – from the organisation’s property assets (freehold and leasehold).
  • Stakeholders – to manage both internal and external stakeholders to ensure strong working relationships that facilitates the team’s effectiveness and reputation as the centre of excellence for corporate real estate services within the organisation and with external stakeholders.
  • Systems/Processes – to ensure that corporate real estate reporting, systems and practices are efficient and effective – providing an environment that facilitates openness and transparency across the organisation, underpinning the team’s high-performance ambitions.
  • Expertise – to provide property market expertise and intelligence to assist the business with maximising the value of its’ property portfolio.
  • Projects – support property development of new assets by working closely with the National Property Development Manager to support the organisations property development strategy and initiatives.
  • Safety & Environment – ensure safety is imbedded as the “given” in terms of culture and behaviour with the Team.  Play a leadership role in the delivery of the Toll Property Sustainability strategy.

PRIMARY RESPONSIBILITIES AND DECISIONS/LEVEL OF AUTHORITY

Strategy

  • Deliver initiatives and outcomes aligned with Property Strategy.
  • Input into Business Unit property strategies to support business plans and strategic initiatives.

Leadership

  • Develop and lead team, embedding the customer centric thought process, seeking to ensure Toll’s values and strategic priorities are aligned with the team’s high performance mindset.
  • As part of the Property leadership team, play an active role in the development of the team across Australia and Asia, providing guidance and direction for team members.
  • Play an active role in Toll’s Leadership Team, providing property based input in to the business, building a reputation as a subject matter expert.

Performance

  • Property Management:
    • Accountable for Toll Property Management operating model (ANZ) and the delivery of the services outlined within it, including the systems and processes that support it.
    • Supporting the property needs of the Business Units, ensuring negotiations with landlords and agents concluded in an effective and efficient manner, including all documentation.
    • Provide appropriate & effective on going management of leases to ensure obligations and mitigations met.
    • Provide appropriate and on time recording and reporting.
  • Facilities Management:
    • Accountable for Toll Facilities Management operating model (ANZ) and the delivery of the services outlined with it, including the systems and processes that support it.
    • Manage the external FM provider(s) to ensure they fulfill their contractual obligations in a manner appropriate to the needs of internal stakeholders.
    • Oversee the planning & budgeting for facilities management services, ensuring obligations are met in line with Business Unit expectations, engaging the 3rd party FM team to facilitate.
    • Manage the liaison between Property, Business Units and external FM firm to ensure the day to day delivery of FM services is done in and effective and efficient manner.
    • Ensure appropriate property advice provided to internal stakeholders on all aspects of facility management services.
    • Provide appropriate and on time recording and reporting.
  • Transactions
    • Manage the acquisition and disposal of assets on an as and when basis.
  • Budgets
    • Assist in the crafting of annual budgets and manage them throughout the year, delivering in line with expectations.
  • Stakeholders
    • Ensure relationships with external stakeholders are effective and facilitate productive outcomes for Toll across all property related activities.
    • Engaging with the external market on behalf of Toll to ensure building a sustainable reputation

Systems/Processes

  • Take ownership of property and facilities management processes and systems to support the effective and efficient management of Toll’s Australian property portfolio.
  • Work with team and internal stakeholders to ensure full awareness of systems and processes used to manage Toll’s property portfolio, ensuring their appropriate and efficient use.
  • Monitor systems and processes to ensure they are fit for purpose and provide value in terms of use by internal stakeholders.
  • Strong reporting – provide effective and informative information to the correct users at the right time – supporting property strategies and corporate and business units in the delivery of outcomes.  

Projects

  • Work with the Project Team, providing input and support into development and project based activities.
  • Engage the Project Team to support with minor works on existing property portfolio to ensure all obligations are met and facilities are fit for purpose.

PRE-REQUISITES

In order to succeed in this role, it is expected that you will have:

Knowledge/Experience

  • Minimum of 8-10 years in the property industry
  • Knowledge of relevant real estate prevailing markets
  • Commercial nous, a straightforward pragmatic approach and excellent interpersonal and communication skills
  • Broad ranging general commercial experience
  • Personal commitment to quality, timeliness and continuous improvement
  • Report writing
  • Planning and organisational skills
  • A strong team player
  • Multi-tasking and good time management – Ability to work with multiple stakeholders simultaneously
  • Willingness to travel as and when needed

Technical/Professional Skills required

  • Competent in Microsoft systems along with Property & Facilities Management systems
  • Property & Facilities Management experience in a corporate environment or agency preferably within an industrial property management emphasis

Qualifications – Tertiary qualification,

  • Tertiary qualification in Real Estate/ Property Management or a related discipline
  • Membership of relevant professional body
