The Learning and Development Administrator (L&D Admin) provides a high level of administrative support to MLG's Group Learning & Development Team to ensure business processes are followed and training compliance is always maintained. The L&D Admin is responsible for upholding the integrity and accuracy of training records of employees engaged in the Employee Development Programs

The role provides administrative assistance to the Learning and Development team by developing, administrating, and delivering effective and efficient training systems, learning programs, standards, and processes for the business.

KEY RESPONSIBILITIES

  • Providing day-to-day support to trainers and assessors as required
  • Quality assurance of completed assessment records completed 
  • Data entry of compliant trainee evidence into the Learning Management System (MYOSH)
  • Raise purchase orders for monthly orders, examples such as Labour Hire, Equipment Hire, Stationary, uniforms, staff amenities and adhoc requests from managers
  • Receipt invoices for raised purchase orders
  • Evaluate and report on training activities as required
  • Administrative tasks as directed by the Group Learning and Development Manager
  • Evaluate and report on all training activities as required
  • Administer and maintain the Learning Systems
  • Provide help desk support for training system queries
  • Adjust Training Needs Analyses (TNAs) in Matrix format to align with site requirements
  • Create new skill and procedure entry codes
  • Amend any clerical errors through inaccurate data input
  • Test customisations and functions in all systems
  • Regularly cleanse the data to ensure relevance and currency
  • Establish Documentation as required - QRG's, Manuals, etc for system use or process explanation. 
  • Research and liaise with external providers to source innovative and cost-effective e­ learning training solutions
  • Accurately report on training compliance levels within the business and liaise with stakeholders to identify opportunities for improvement
  • Provide Learning Systems training to individuals and teams in accordance with Training Standards, Training Management Procedure and site/project Training Management Plans
  • Monitor compliance in Learning Systems training and provide support to managers and supervisors in relation to the training needs of their staff
  • Support future learning systems capabilities on site as required
  • Assist and advise with the design and development of learning material
  • Evaluate and report on all training activities as required
  • Collate and report on training statistics for monthly reporting
  • Provide training to Sites on the current and future Learning System capabilities.
  • Ensure·all training and assessments undertaken within the L&D system is current and in accordance with required standards and complies with MLG and legislative requirements
  • Develop, monitor and maintain Administration proficiencies within MLG
  • Develop and promote continuous improvement to the L&D systems
  • BAC audits for compliance monitoring 
  • Administrative support of the New To Industry Development Program 
    • Participate in the information and assessment day
    • Assist recruitment with support of screening applicants 
    • Assist mobilisation team with upload of compliances for approved applicants 
    • Print, bind and manage materials for training programs
    • QA of completed assessment materials 
    • Data entry of completed assessment materials (MYOSH)

KNOWLEDGE REQUIRED

  • Sound communication skills - possession of a range of interpersonal and communication skills, professional and credible.
  • Accountability – takes clear responsibility for allocated tasks 
  • Intermediate Microsoft skills - including the ability to use spreadsheets efficiently, familiar with how to use filters and basic formulas 
Proven experience in/to:
  • A minimum of 1 years experience working in administration, with a preference for site based experience 
Awareness, knowledge and understanding of:
  • Administration Process - able to follow and manage the administration processes for the project
  • Learning and Development Process – able to follow and explain the training processes for the business
