The Training Administrator is responsible for completing various administrative tasks that support the Training and Development team to design and deliver training for Defence Force Recruiting.

Job Description

As the Learning & Development Administrator, your role is centered around providing support in the coordination and administration of training programs. You play a key role in managing various aspects of the training process, from scheduling sessions to organising logistics and communicating with participants. Your meticulous attention to detail ensures that all training records and databases are accurately maintained, guaranteeing completeness and reliability of information. By diligently assisting in these essential tasks, you contribute significantly to the smooth operation and effectiveness of our organisation's learning initiatives.
You will:

  • Assist in the distribution of training materials, including presentations, handouts, and online resources.
  • Support trainers and facilitators during training sessions, including setup, technology support, and participant assistance.
  • Assist in the evaluation of training programs through feedback collection and analysis of the data.
  • Assist with the administrative functions of the Learning Management System (s).
  • Support the Training Delivery Lead with the completion of the Record of Delivery and the archive of content and training materials.
  • Support in the maintenance of the team inbox and ensure all correspondence is responded to and resolved in a timely manner.
  • Support in the maintenance of the Training and Development team Continuous Improvement Register and SharePoint page.
  • Track participant attendance and maintain accurate training records.
  • Assist in the onboarding process of new employees.
  • Monitor and report on training program metrics and outcomes.
  • Participate in Training and Development after action reviews and continuous improvement initiatives.
  • Prepare team meeting attendance, actions and notes templates.
  • Other duties as required.

Your background will demonstrate:

  • Proficiency in administrative tasks related to learning and development programs.
  • Experience in coordinating training logistics, including scheduling, venue arrangements, and participant communication.
  • Strong organisational skills with attention to detail to ensure smooth program implementation.
  • Familiarity with learning management systems (LMS) and other training administration tools.
  • Ability to assist in the development and distribution of training materials and resources.
  • Excellent communication skills to liaise with trainers, facilitators, and program participants.
  • Capability to track and maintain training records and generate reports as needed.
  • Supportive role in handling inquiries and providing assistance to employees regarding learning opportunities.
