We are currently looking for an Administration Superstar – Is this you?

Tacoma Plumbing (Nth Qld) is locally owned and operated in the Cairns and Townsville regions, specialising in commercial construction and maintenance since 1991.

Our Maintenance Department is looking for someone to keep all the wheels turning on a daily basis. You will work alongside our Maintenance Manager (and team of plumbers) to provide administration support.

This role encompasses a wide variety of tasks, and the right candidate will be someone who can multitask, prioritise and has a broad knowledge across various aspects of administration. 

About the Role
As a maintenance administrator at Tacoma Plumbing, you will play an essential role in ensuring the smooth and efficient operation of our maintenance department. You will be responsible for coordinating work requests, liaising with service techs, clients and suppliers, and utilising software platforms such as SimPRO to manage works and enhance customer satisfaction. 

The day to day aspects of the role include:

  • Be the friendly and welcoming first point of contact through phone calls and emails
  • Coordinating, scheduling and prioritising of all incoming job requests
  • Liaising with staff and clients for scheduling of jobs
  • Managing all outstanding work orders
  • Managing Client Portals
  • Maintain professional and friendly relationships with maintenance techs, staff, clients and suppliers
  • Provide assistance in obtaining quotes for materials/services
  • Support maintenance manager with management of maintenance team
  • Data, Entry, document submission and record keeping
  • Invoicing customers
  • General administration duties and office support
  • Managing Employees inductions and licenses 
  • Raise purchase orders for goods and services as required
  • Working side by side with our project team
  • All aspects of administration tasks relating to our Maintenance Department

About You

Ideally, you are positive and self-motivated, and your enthusiastic and keen to learn attitude fits in well with our team. You are punctual and reliable and take responsibility and pride in your work. You have a friendly and confident phone manner and your ability to multitask and handle high pressure like situations calmly and effectively will ensure your success in this position. Your ability to control your workload and make space for additional tasks will open opportunities for further variety and growth.

 The successful applicant will possess the following:

  • Considerable administrative experience and a high level of proficiency with Microsoft Office, in particular Outlook, Excel and Word.
  • Proficiency in SimPRO (preferred but not essential) and basic IT troubleshooting
  • Excellent planning, prioritising, organising and time management skills.
  • Ability to adapt to changing priorities and work well under pressure
  • Ability to work well autonomously and within a team environment
  • Proven experience in a construction-based role is preferred but not essential
  • Has a sound understanding of WHS Procedures
  • Is competent in document control 
  • A positive ‘make it happen’ attitude.
